Admin Assistant to Executive Director

Position Title: Administrative Assistant to the OB-GYN Department Chair

Position Grade: 10

Position Summary

The Department of Obstetrics and Gynecology at the University of New Mexico School of Medicine is seeking a highly motivated and organized Administrative Assistant to support the Chair of the department. This pivotal role provides high-level administrative support, coordination, and communication in a dynamic academic medical environment. The successful candidate will be proactive, detail-oriented, and comfortable managing complex calendars, confidential information, and multiple priorities.

Key Responsibilities
  1. Provide direct administrative support to the Department Chair, including calendar management, meeting coordination, and travel arrangements.
  2. Draft and prepare correspondence, reports, presentations, and other documents.
  3. Coordinate departmental events, faculty meetings, and leadership team activities.
  4. Serve as a liaison between the Chair and internal/external stakeholders.
  5. Maintain confidentiality and discretion in handling sensitive matters.
  6. Track and follow up on key projects and deadlines.
  7. Ensure smooth day-to-day operations for the Chair and other support staff.

Working hours are Monday-Friday 8am-5pm. Occasional early morning or evening hours are required.

Conditions of Employment & Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year-for-year basis.

Preferred Qualifications
  • Experience working in an academic healthcare or university setting.
  • Experience supporting executive-level leadership.
  • Strong project management skills and familiarity with tools such as Zoom, Teams, Outlook, and the Microsoft Suite.
  • Ability to anticipate needs, problem-solve independently, and demonstrate initiative.

Location: Campus Health Sciences Center (HSC) - Albuquerque, NM

Department: Obstetrics Gynecology (OB GYN)

Employment Type: Staff, Regular Full-Time

Status: Non-Exempt

Pay Range: Hourly $18.81 - $25.56

Benefits: Benefits-eligible, including medical, dental, vision, life insurance, and educational benefits.
