Administrative Assistant-Recruiting

Job Summary
Performs administrative and support duties, such as preparation of reports and presentation materials,
handling correspondence, receiving and directing visitors, scheduling meetings, coordinating events, and
completing data entry.
Key Responsibilities
1. Maintains a clean, sanitary, organized, and safe work area ensuring compliance with all policies,
practices, and regulations. Ensures conference rooms maintain cleanliness, organization, and
facilitates preparations.
2. Schedules meetings, reserves conference rooms and equipment, coordinates events, scheduling
tours, managing calendars, and may make travel arrangements.
3. Participates in special projects.
4. Provides reception services, including receiving and directing visitors, answering and directing
calls, and handling mail.
5. Creates and maintains records ensuring accuracy and completeness.
6. Compiles, stores, and distributes reports.
7. Coordinates collection and preparation or reports and documentation.
8. Tracks expenses, inventory, and various department logs. Support budget preparation and
expense reporting as needed.
9. Monitors, orders, and/or distributes supplies. Responsible for coffee supplies, visitor PPE, and
supply closets.
10. Provides editing, proofing, formatting, and distribution of materials.
11. Completes data entry ensuring accuracy and compliance

Minimum Qualifications (Educations & Experience)
* High school diploma, GED, or equivalent

* While performing the duties of this job, the employee may be regularly required to stand, sit, talk,
hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, keyboard,
and occasionally lift up to 30-50 pounds. Specific vision abilities required by this job include close
vision, distance vision, depth perception, color vision and the ability to adjust focus


Working Conditions
* Work will be performed in a variety of conditions including climate-controlled office and laboratory
environment(s); in a manufacturing plant environment with varying conditions, such as cold areas,
wet areas, warm areas, chemicals, and other site conditions; and in a farm environment including
working outdoors in seasonal conditions with live animals and at times in dusty environments.
This position requires the individual to wear and work in personal protective equipment while in
the laboratory, manufacturing and farm environment. This individual may be working around sick
or diseased animals where additional precautions may need to be taken.
* The noise level of the office, laboratory and farm environment is usually moderate. The noise level
in the manufacturing environment may exceed 85 DBA and require hearing protection. Showering
in and out of farm locations may be required.
* Occasional travel may be required.
