Job description

The Administrative Assistant is responsible for providing administrative assistance to all departments within the Enrollment Management Division to include the areas of correspondence, records, data entry, mailings and other tasks as assigned.

Specific Responsibilities:

  • Provides primary phone coverage for the EM division.
  • Works closely with the Office Manager to provide superior customer service for the offices of Admissions, Financial Aid, Marketing and Communications, and Short-term Programs.
  • Provides administrative support to the Admissions, Financial Aid, Marketing and Short-term Programs.
  • Responsible for processing, data entry and record management for the EM division.
  • Primary for greeting visitors to the office.
  • Assists in scheduling applicant interviews and campus visitation scheduling and follow-up for admissions and summer programs.
  • Assists all managers in Enrollment Management in implementation of prospect management to include lead inquiry intake, follow-up and tracking for the EM division.
  • Assists Marketing with budgets, invoices, organizing video and photo assets, projects, etc. as needed.
  • Assists with correspondence, mailing, maintaining files, records and reports for admissions, financial aid, marketing, and short-term programs.
  • Picks up, delivers and distributes mail for the division.
  • Maintains the reception area as a welcoming environment for visitors.
  • Attends all on-campus and virtual recruitment events for the EM division.
  • Maintains current working knowledge of computer applications and other administrative technologies required to effectively perform job responsibilities.
  • Performs other duties as assigned.

  • Professional etiquette is essential as the position entails frequent contact with parents, students, faculty and senior staff of the College.
  • A commitment to confidentiality is essential.

Physical Demand:
The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying items such as papers, books, small parts, boxes, packages, etc. Some repetitive motions are performed in typing and word processing. There may be times when medium lifting is required of items ranging in weight up to about 30 lbs.

Working Conditions:
General office and campus conditions. The work environment involves everyday risks or discomforts, which require normal safety precautions typical of such places as offices, meetings, classrooms and libraries. The work area is adequately lit, heated and ventilated. The work environment for an employee in this job is a daily indoor office environment, typical office setting with equipment noise and frequent interruptions.
