Job Summary
The Administrative/Departmental Secretary provides clerical and administrative support to NARMC Rehabilitation Services. This position supports daily patient registration and scheduling, telephone communication, charge entry, medical records preparation, physician orders, patient reminders, document scanning, and other departmental processes.
The Administrative/Departmental Secretary works closely with therapists, physicians’ offices, patients, the Rehab Director, and the Rehab Business Office to help ensure accurate and timely administrative processes.
Key Responsibilities
- Prepare computers and department systems for daily scheduling, registration, and appointment processes.
- Answer telephone calls promptly and professionally while following established communication protocols.
- Provide positive and professional guest service during all telephone and patient interactions.
- Register patients accurately and efficiently throughout the day.
- Schedule patients for all Rehabilitation Services departments while maintaining accurate appointment information.
- Process special scheduling requests from therapists and patients.
- Enter patient charges accurately and within required timeframes.
- Reconcile charge entries for Rehabilitation Services departments.
- Contact physicians and physician office personnel to obtain required physician orders before the patient’s initial evaluation when applicable.
- Assemble new patient charts and ensure required documentation is prepared for the patient’s first visit.
- Make quality improvement and patient reminder calls, including no-show follow-up, initial evaluation reminders, and EMG/NCV appointment reminders.
- Prepare Wound Clinic documentation, stickers, evaluations, and related records for processing.
- Scan Wound Clinic evaluations for electronic signature.
- Fax Wound Care evaluations to out-of-town physicians as needed.
- Print and prepare patient treatment information and therapist schedules.
- Prepare therapist patient schedules for the following business day.
- Print inpatient and outpatient Wound Clinic evaluations and prepare documents for scanning.
- Assist the Rehab Director with departmental projects, administrative tasks, and special assignments.
- Assist the Rehab Business Office Supervisor with administrative tasks and special projects.
- Maintain accuracy, confidentiality, and professionalism when handling patient and medical information.
- Perform other job-related clerical and administrative duties as assigned.
Job Qualifications
Required
- High school diploma or equivalent.
- Working knowledge of medical terminology.
- Basic typing and computer skills.
- Ability to read, write, speak, and understand English.
- Strong attention to detail and accuracy.
- Ability to communicate professionally with patients, healthcare providers, and coworkers.
- Ability to manage multiple administrative tasks in a busy healthcare environment.
Preferred
- Previous experience in a medical office, hospital, clinic, rehabilitation, or other healthcare setting.
- Previous experience with patient registration or scheduling.
- Experience with electronic medical records or healthcare scheduling systems.
- Previous medical administrative or clerical experience.
- Familiarity with insurance, medical documentation, or physician orders.
