Job summary

Lutheran Community Services NW is seeking a part-time administrative support role to assist with office operations across multiple locations in WA. You will welcome clients, manage phones, schedule meetings, handle purchasing, mail, and invoices, and support district committees.

The role emphasizes organization, customer service, and teamwork in a diverse setting. Requires 2 years of related experience, HS diploma or equivalent, and strong English communication.

Qualifications

  • 2 years of related experience in administrative, clerical or office operations.
  • Highly organized with attention to detail and follow-through.
  • Fluency in English, both spoken and written.
  • Ability to plan, prioritize, and work independently with minimal supervision.
  • Experience in social services or multicultural settings is a plus.

Responsibilities

  • Greet and direct clients and visitors in a cordial and professional manner.
  • Monitor staff/visitor access and maintain security awareness, including building access and alarm systems.
  • Answer multi-line telephones, route calls, and provide information about programs.
  • Maintain and monitor the office’s shared conference rooms and scheduling calendars.
  • Responsible for purchasing staff and general office supplies; receive and distribute mail.
  • Code and direct monthly invoices to district leadership and accounts payable.
  • Serve on district committees and act as safety committee representative.
  • Perform other office duties as assigned.

HOW YOU WILL MAKE AN IMPACT:

All LCSNW team members will contribute to our mission of partnering with individuals, families and communities for health,justiceand hope. This role works with a variety of clients, program staff and district leadership to ensure consistent operations for the LCSNW offices/teams and helps to create and maintain a positive, organized and efficient office environment by collaborating and communicating effectively with staff and clients.

  • Greet and direct clients and visitors in a cordial and professional manner.
  • Monitors staff/visitor access and maintains security awareness.Including maintaining building access including keys, alarm codes and alarm systems.
  • Answers multi-line telephones, route calls, take messages, and provide information about programs offered to clients.
  • Maintains and monitors the office’s shared conference rooms & scheduling calendars.
  • Responsible for maintaining and purchasing staff and general office supplies.
  • Receives and distributes mail and deliveries.
  • Codes and directs monthly invoices to district leadership and accounts payable.
  • Serves on district committees throughout the year associated with district functions including acting as the local safety committee representative.
  • Other office duties as assigned.

HOW YOU WILL BE A GREAT FIT:

  • 2 years of related experience in administrative, clerical or office operations. This position requires highly organized person who is proficient with details and following through.
  • Skilled in planning and prioritizing work effectively, working independently and with minimal supervision.
  • Skilled in effectively operating standard office equipment including personal computers and related software.
  • Strong interpersonal skills and ability to work collaboratively with colleagues and partners.
  • Experience working in social services, with diverse populations in a multicultural setting.
  • HS diploma or equivalent
  • Credentials may be required depending on individual program or location requirements
  • Fluency in English, both spoken and written
  • Intermediate mastery of business applications and productivity suites
  • Demonstrates resilience, awareness and self-regulation in navigating challenges, conflict and obstacles/barriers.
  • Thrives in a diverse and multicultural environment; works with cross-functional teams to develop and implement strategies to enhance end-user experiences throughout the service lifecycle
  • Demonstrates exceptional commitment to serving and advocating for diverse and marginalized populations
  • Successfully completes tasks in a moderately noisy environment
  • Interacts with others and performs tasks in-person and using technology, with moderate periods of stationary activity and minimal periods of increased physical activity including and not limited to moving boxes, IT equipment, mail and office supplies.
  • Moves equipment/materials weighing up to 50 pounds.
  • Travels between worksites occasionally.
  • Works in a variety of settings, including and not limited to LCSNW office locations, partner agency and community-based settings, client home/community settings, outdoor settings in varying weather conditions, and faith-based settings such as churches
  • Meets LCSNW criminal background clearance requirements and other job-relevant clearances as required by the State or program
