An Administrative Assistant I plays a key role in keeping the office running smoothly by providing essential administrative support. From assisting managers, employees, and students to manage a variety of tasks, they ensure the department's needs are met with precision. With strong communication skills, both over the phone and via email, they guarantee tasks are completed accurately, efficiently, and with exceptional quality

As an Administrative Assistant, you will handle a variety of office tasks, such as filing and setting up for meetings, while also organizing and maintaining both paper and electronic files. You will manage a multi-line phone system, screening and routing calls to the appropriate parties. You'll assist with data entry into the applicant database and stay up to date by attending professional development courses as directed by the department director. Your role also includes greeting and assisting employees, students, and guests with a polite and professional attitude. Additionally, you will produce and distribute correspondence like memos, letters, faxes, and forms, manage mail sorting and distribution, and complete special projects as assigned.

The position requires a high school diploma, with an associate degree from an accredited college or university preferred. A minimum of two years of office administrative experience is also preferred. Strong customer service skills are essential, along with proficiency in computer-related technology. The role demands excellent verbal and written communication skills, the ability to handle confidential materials, and experience with multi-line phone systems. Candidates must be adept at managing time, multitasking, and prioritizing work. Familiarity with Microsoft Office Suite, Google Apps, and the ability to operate printers, postage machines, and copiers are also required. The position also requires the ability to follow detailed but straightforward written or oral instructions with common sense and clarity.
