Job summary

St. Helena Hospital, part of Adventist Health in Napa Valley, is seeking an administrative assistant to support departmental operations.

You will direct workflow, maintain professional communications, and assist with research and special projects. Responsibilities include receptionist duties, maintaining patient records, updating databases, preparing documents, scheduling appointments, and supporting performance improvement initiatives.

Qualifications

  • High School Education/GED or equivalent: Preferred
  • Associate’s/Technical Degree or equivalent combination of education/related experience: Preferred
  • Essential functions include receptionist duties, records management and budgetary oversight.

  • Performs general receptionist duties and maintains department records and statistics.
  • Maintains patient medical records and related documents and reports.
  • Oversees supplies, equipment inventories, budget information and office files.
  • Performs other job-related duties as assigned.

Job Summary

Performs a broad range of administrative and clerical duties in support of department operations. Directs workflow. Maintains a consistent and professional appearance in all communications in written and verbal form. Assists with research and provides administrative support to special projects.

Job Requirements
Education and Work Experience
  • High School Education/GED or equivalent: Preferred
  • Associate’s/Technical Degree or equivalent combination of education/related experience: Preferred
Essential Functions
  • Performs general receptionist duties. Maintains department records, reports and statistics. Maintains patient medical records, and all related documents and administrative reports. Oversees supplies and equipment inventories, department costs and other budgetary information, and personnel and other office files.
  • Assists with patient document preparation. Participates in departmental performance improvement and quality assurance activities. Utilizes and updates departmental databases.
  • Performs secretarial and clerical duties as needed, including but not limited to, editing and composing correspondence, handling incoming and outgoing mail, answering phones, scheduling and confirming appointments.
  • Performs other job-related duties as assigned.
