Job summary

The Metropolitan Opera seeks an attentive Administrative Assistant to support the Lindemann Young Artist Development Program (LYADP) with a variety of administrative duties. This role reports to the Executive Director with supervision by the Assistant Director.

Responsibilities include managing calendars, payroll data, and program assets, coordinating auditions and events, and supporting social media and communications efforts for LYADP.

Qualifications

  • 1–2 years of administrative experience with ability to prioritize and self-direct.
  • Excellent written and verbal communication in a professional, discreet manner.
  • Strong computer skills with Microsoft 365, Google Suite, and basic design tools.
  • Familiarity with payroll data entry and budgeting concepts is a plus.
  • Knowledge of foreign languages is preferred, especially Italian, German, French, or Russian.

  • Manage daily and weekly LYADP schedules, including artist releases and rehearsals.
  • Input and track payroll and finance data for artists, employees, and contractors.
  • Maintain artists' materials and assist with translations and program assets.
  • Coordinate auditions, master classes, and external engagements, including travel logistics.
  • Oversee program-related social media coordination with Met Communications and Graphics teams.
  • Assist in visa petitions for international artists and in planning events.
  • Other administrative tasks as assigned.

Job description

The Met seeks an attentive Administrative Assistant who will be directly responsible for providing support to the Lindemann Young Artist Development Program (LYADP) through a variety of administrative duties. This position reports to the Executive Director with supervision by the Assistant Director. The Metropolitan Opera's Lindemann Young Artist Development Program was created in 1980 to identify and develop extraordinarily talented young artists in the realm of opera. The program has trained new generations of celebrated American and international opera singers, as well as coaches and pianists, who perform at the highest standards in productions at the Met and opera houses around the world. The ideal candidate for Administrative Assistant will have a deep interest in the opera industry, strong computer skills, and a working knowledge of foreign languages. Excellent communication and discreet interpersonal skills are essential to success in this position.

Primary Responsibilities
  • Administrative tasks such as filing, data entry, email and phone correspondence, calendar appointments, and departmental communications.
  • Compose, distribute, and maintain daily and weekly Lindemann Program schedules, including tracking of artist releases, faculty availability, AGMA rehearsal schedules, and cancellations. This is currently done via a custom software platform, for which this role serves as administrator.
  • Input and track payroll and finance data for Artists, Employees, Contractors, Faculty, and Staff, including tracking of union contracts, processing reimbursements, and updating budget.
  • Maintain Artists' professional materials and compile and edit texts, translations and other program assets as needed.
  • Oversee social media operations for the program in coordination with the Met's Communications and Graphics teams. Capture and create content, maintain digital assets for archival and current season use.
  • Assist in planning and tracking LYADP Special Events and external engagements, including preparing texts and translations. Provide production support as needed.
  • Assist in coordinating auditions, master classes, and external engagements, including scheduling, arranging travel, proctoring operations, and communicating logistical details.
  • Compiling and organizing materials for visa petitions of international artists.
  • Other administrative tasks, as assigned by the Lindemann staff.
Skills and Qualifications
  • 1-2 years prior administrative experience with demonstrated ability to prioritize and self-direct projects.
  • Excellent written, verbal, and interpersonal communication for all aspects of the LYADP in a professional and discreet manner.
  • Strong computer skills, including Microsoft 365, Google suite, Adobe Creative Suite including InDesign, Canva, website and database management, standard social media platforms, and willingness to learn new software applications as needed.
  • Great attention to detail, taking pride in task completion with consistent accuracy.
  • Knowledge of the opera industry and repertoire is required.
  • Fluency or working knowledge of foreign languages is preferred, especially Italian, German, French, and Russian.
  • Strong verbal and written communication skills and proficiency with math, accounting, and spreadsheets.
  • Ability to work with many personality types and maintain good humor, poise, discretion, and professionalism in a fast-paced work environment
  • Flexibility to work extended hours including nights and weekends, on occasion
