Job summary

Job description

Job Summary

The University Center for Language and Literacy (UCLL) within MARI is hiring an Administrative Assistant Intermediate. As the Administrative Assistant, you would be the key in building client relationships as the first contact, on the phone, through written messages, or in person.

Responsibilities*
  • Welcome and support clients and families daily, including delivering client schedules.
  • Develop recreation activities for clients and families ( weekend activities, dinner clubs, care partner outings).
  • Prepare and organize client rooms, binders, start/end-of-session parties, and help with parking issues, including U of M's parking system.
  • Maintain individual rights to privacy and confidentiality (i.e., HIPAA and PHI protection).
  • Oversee distribution of customer satisfaction surveys.
  • Purchase clinical materials and tools; track orders, receipts, inventory, and reconcile P-card.
  • Organize data, upload client paperwork into CT.
  • Process and track client payments and donations.
  • Manage building maintenance issues.
  • Communicate and follow up with vendors (Iron Mountain, Culligan, Xerox).
  • Collaborate with IT on staff-related issues.
  • Help with volunteer interviews and onboarding at UCLL.
  • Create content for UMAP social media (Instagram, Facebook).
  • Support our clinicians and training directors.
Required Qualifications*
  • 1+ years of working in a healthcare setting (or related field), completing administrative tasks.
  • Experience working with faculty, students, and staff.
  • Excellent customer service skills and comfort discussing and collecting co-pays.
  • Experience with Google Workspace and Microsoft Office.
  • Previous experience scheduling and managing Zoom meetings.
  • Previous experience using an electronic medical record system
  • Experience handling confidential items.

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes .

Additional Information
  • Visa sponsorship is not available for this position.
  • Initially, this position will be 100% onsite; however, one day of remote work is available after 6 months. The hours are 7:30 a.m. - 4 p.m. Monday through Friday, but may change as MARI office hours expand; some evenings are required.
