Job Summary: The Administrative Assistant III, Student Experience provides comprehensive administrative and operational support to the Vice President of the Student Experience, the Dean of Students & Athletics, and the Student Experience division. This position supports daily departmental operations, reporting, purchasing, and coordination of meetings and events, while serving as a central point of contact for students, faculty, staff, and campus partners.
Education: Associate’s degree, or a combination of education and experience that provides the required knowledge, skills, and abilities.
Experience: Two (2) to four (4) years of clerical or administrative support experience
Preferred: Work experience in higher education
Required Knowledge: Perform general administrative functions including coordinating appointments and meetings; answering and directing phone calls; typing correspondence; filing and maintaining records; copying and distributing materials; ordering supplies; creating purchase orders; and sorting and distributing mail.
Greet and assist visitors, faculty, staff, and students, providing a welcoming and professional environment and assisting students with various needs as appropriate.
Initiate, track, organize and process purchase orders and requisitions; serve as the primary liaison with the Administrative Services for Student Experience purchasing needs.
Support collaboration and relationship-building efforts within the Student Experience Division to advance divisional goals, objectives, programs, and evaluations.
Prepare, update, and distribute the Student Experience and Hill College informational materials and assist with updating institutional documents as needed.
Assist the Vice President of the Student Experience with divisional and departmental budget processes and documentation.
Coordinate and manage the lost and found program for the Hill County Campus, including maintaining logs and ensuring proper disposition of items in accordance with institutional procedures.
Submit and track maintenance, custodial, residential life, campus safety, event setup, and IT work orders as needed.
Assist with divisional projects and activities, including scheduling and coordinating meetings, preparing agendas and minutes, record keeping, data entry, and correspondence.
Support programs and events hosted by Student Experience, the college, and student organizations; coordinate travel arrangements for departmental staff as requested.
Issue, distribute, and maintain faculty and staff parking stickers, including data entry, reporting, and coordination of the annual purchase of district parking decals.
Maintain working knowledge of admissions, registration, cashiering, purchasing, and general office policies and procedures.
Uphold and promote the Hill College mission, vision, values, and Code of Conduct while ensuring compliance with institutional policies and procedures.
Program Development: Support the effectiveness and efficiency of the Student Experience operations through accurate recordkeeping, communication, and coordination.
Contribute to the successful execution of divisional initiatives, programs, and events that enhance the student experience.
Assist in maintaining organized processes that support institutional accountability and service excellence.
Work collaboratively with the Student Experience leadership, staff, faculty, and campus partners.
Serve on institutional committees as assigned.
Represent the Student Experience in a professional and positive manner across campus and in the community.

Travel to other Hill College locations may be required.
Evening and weekend work required during designated events.
