Job summary

Augusta Health is seeking an administrative support professional to perform varied, generally administrative tasks for departmental operations. The role involves planning, organizing, and completing daily work with limited supervision to support a team environment.

The ideal candidate has an associate’s degree or equivalent experience, 3–5 years of admin office support, and CPT knowledge. CHAA certification is preferred.

Responsibilities

  • Answering phones, directing calls and taking messages.
  • Prepare, receive, sort and distribute mail and other items for providers and staff.
  • Maintain front-end operational flow of the practice.
  • Enter patient and staff information and maintain departmental records.
  • Schedule patients and staff, prepare reports and assist with data analysis.
  • Mentor and train new hires in AA 1 positions.

Performs work that is varied and generally administrative or project-oriented for departmental operations. Independently plans, organizes and completes daily work under limited supervision in a manner supportive of a team environment.

  • Coding and billing experience/ CPT knowledge.
Essential Job Duties:
  • Performs basic support functions to ensure efficient operation of the area such as:
    • answering phones, directing calls and taking messages
    • copying, scanning faxing and/or emailing documentation
    • ordering and/or restocking supplies and forms as needed
    • preparing, receiving, sorting, and distributing mail and other delivered items to providers and staff w/ any certified mail requirements.
    • maintaining office equipment as needed ensuring any issues with office equipment utilized are identified and addressed w/ knowledge of repair process.
  • Gathering and entering a variety of patient and/or staff information by pulling, preparing, logging and/or filing patient information; maintaining departmental records and files as directed
  • Participates in maintaining front end operational flow of the practice in daily work.
  • Ability to assess data reflective of the patient status and interpret the information needed to identify each patient’s requirement relative to his/her age specific needs as they relate to the staff position.
  • No breaches in confidentiality.
  • Observed to call patient by correct name.
  • Maintains patient privacy.
  • Demonstrates skill in interpersonal relationships.
  • Appropriately answers questions and provides information and assistance.
  • Appropriately handles inquiries and takes command of the situation to direct the course of events.
  • Assumes responsibility for personal development, identification of developmental needs. and initiates or identifies activities for formally developing skills.
  • Is observed to make good use of time.
  • Produces accurate work for check in and check out processes of the patient visit.
  • Completes patient scheduling process accurately
  • Knowledge and skills necessary to provide care according to the age of the patients served, including principles of growth and development over the patient’s life span as it relates to the staff position. Communicates well with all age groups.
  • Knowledgeable about practice process as it relates to patient and staff communication.
  • Observes the outcome of process and identifies problem and recommends alternative.
  • Participates in educational and training programs as presented.
  • Performs basic and some advanced administrative functions such as:
    • composing and editing a variety of correspondence and other materials from verbal/written instructions, and processing and/or transcribing documents
    • attending meetings and recording, maintaining and distributing minutes and/or notes
    • Mentoring and training of new hires
  • Completes staff and/or patient scheduling duties such as:
    • Maintaining, calculating and compiling basic statistical, numerical and /or computerized reports under manager direction for month end and data analysis
    • orienting employees on procedures and process improvements
    • Composing and editing a variety of correspondence and other materials from verbal/written instructions
  • Shares knowledge and experience with other office staff. Will serve as mentor to AA 1 positions.
  • Communicates all pertinent information and general environmental information to applicable staff.
  • Performs other duties as assigned; completes training and education as required.
