Administrative Assistant II Child Support Enforcement

Reports To: Director of Child Support Enforcement

Location: Norfolk

Salary: Grade 5 ($13.50 - $22.80)

Classification: Full-time

Summary

The Ponca Tribe of Nebraska is a federally recognized Tribe with its ancestral homeland located in Niobrara, NE. The Tribe does not have a reservation in the classic definition; rather, the Ponca Restoration Act defined its jurisdiction as a Service Delivery Area comprised of 15 counties throughout parts of Nebraska, Iowa, and South Dakota. Within its Service Delivery Area, the Tribe offers a broad range of health, social, educational, and cultural services.

This position provides a wide range of administrative and office support activities for the Child Support Enforcement Program. Assist the director to facilitate the efficient operation of the program.

Tasks may include but are not limited to:

  • Assisting with the planning and coordination of the program budget, goals and objectives
  • Providing assistance to all functions of the department
  • Maintaining data for federal reporting
  • Providing general clerical duties

This position requires providing services to clients seeking assistance through the Child Support Enforcement Program by filling out forms and applications, giving information, making referrals, and other activities.

Essential Responsibilities and Duties
  • Assists with the development of project goals and objectives, including collecting and reporting data
  • Assists with preparing and monitoring the program budgets
  • Assists with developing and submitting monthly reports to the CEO of Tribal Affairs
  • Answer, screen and transfer calls as appropriate
  • Receive and direct visitors and clients
  • Perform general clerical duties including photocopying, faxing and mailing
  • Maintain an orderly filing system
  • Handle requests for information and data
  • Resolve administrative problems and inquiriesPrepare written responses to routine inquiries
  • Schedule and coordinate meetings, appointments and travel arrangements for staff
  • Prepare agendas for meetings and prepare schedules
  • Open, sort and distribute incoming correspondence
  • Maintain office supply inventories
  • Coordinate maintenance of office equipment
  • Maintain complete confidentiality and honor the Privacy Act in all activities
  • Possess the ability to relate to the clients in a professional manner, as well as with federal, state, judicial and other professional representatives
  • Possess the ability to promote the program both internally and externally
  • Assist clients in filling out forms and application information for the Child Support Enforcement Program
  • Assist clients in interpreting/understanding forms, policies, regulations, and other items for assistance through the Child Support Enforcement Program
  • Attend trainings and meetings
  • Travel is required, which includes some out of state travel
  • Other duties as assigned
Relationships and Authority

This position has no supervisory authority. This position must establish a working relationship with other tribal programs, IV-D program directors, funding agency, tribal, state and federal Courts.

Working Environment and Physical Demands

Physical requirements include carrying/lifting up to 5 pounds, frequently; up to 10 pounds, regularly; and up to 25 pounds, occasionally. Visual acuity, speech and hearing; hand and eye coordination and manual dexterity necessary to drive an automobile and operate computer keyboard and basic office equipment; subject to carrying, lifting, twisting and reaching to perform essential job functions. Working conditions are primarily in an office environment with occasional travel to other locations.

Qualifications

Minimum:

  • High School diploma or GED
  • Must be qualified to become a Notary in the State of Nebraska
  • Possess excellent written and oral communication skills
  • General knowledge of child support, court and office terminology
  • Six months of computer proficiency with Word, Excel spreadsheets and PowerPoint
  • Six months of bookkeeping, clerical and data entry skills
  • Six months collecting and monitoring data and budgets
  • Six months preparing reports
  • Valid driver's license and be insurable
  • Successfully pass drug and alcohol testing, motor vehicle, education, character, and criminal background checks
  • Able and willing to travel, including out of state travel

Preferred:

  • Associates degree in Social Work, Business or other related field or an equivalent combination of experience and education
  • One year of child support enforcement experience
  • Six months working with Access database
  • Knowledge and understanding of Public Law 93-638; Indian Self Determination Act
  • One year experience working with Native Americans or Native American organizations
  • Preference will be given to Ponca Tribe of Nebraska members or members of a federally recognized tribe. However, all qualified individuals are eligible
