The Prince George’s County Planning Department of The Maryland National-Capital Park and Planning Commission is seeking an Administrative Assistant II to join our planning team in Largo, Maryland. The role supports a busy office with clerical tasks, meetings, and correspondence.

Ideal candidates have strong written and verbal skills, proofreading ability, and experience with MS Office and databases. A high school diploma and two years of admin experience are expected; telework is not guaranteed.

  • Equivalent education/experience totaling two years may be substituted.

Responsibilities

  • Provide administrative and clerical support to staff in the division and schedule meetings.
  • Proofread and produce final copy per department standards.
  • Maintain office filing system and databases; update information for supervisor.
  • Manage communications, mail processing, and timely routing of materials.
  • Enter data, answer questions, and assemble data for reports.
  • Maintain and reconcile financial reports; review timecard information.

Job description

The Prince George’s County Planning Department of The Maryland National-Capital Park and Planning Commission is seeking an Administrative Assistant II to join our planning team. The Department provides land use planning for the physical development of Prince George’s County, Maryland. As the second most populous county in Maryland, Prince George’s has a population of approximately 900,000 residents with 15 Metro Rail Stations and is home to The University of Maryland at College Park, WMATA Headquarters, UMD Capital Region Medical Center, U.S. Census Bureau, U.S. Department of Agriculture, Internal Revenue Service (IRS), NASA Goddard Space Flight Center, and Joint Base Andrews. Prince George’s County is also home to attractions such as Northwest Stadium (formerly FedEx Field) and National Harbor.

We are seeking a self-motivated Administrative Assistant II with strong written and verbal communication skills. The qualified candidate must be able to balance multiple requests and deadlines concurrently, keep pace with a varied work program, and work with a diverse staff. This position also requires exceptional time management skills, with the ability to work well under pressure and within tight deadlines.   • Under general supervision, provide administrative and clerical support to staff in the division, schedule meetings, and compose and mail a variety of forms and correspondence. Responsible for proofreading and producing final, error-free copy adhering to the Department’s standardization manual.
  • Support management of the division’s communications systems, including processing incoming and outgoing mail and ensuring timely routing of materials; coordinating and using e-mail and other e-communication mechanisms to transmit information to staff in the division in a timely manner; and maintaining division files for timely responses to formal communications.
  • Maintain office filing system and databases. Enter and update information. Search files and other information sources to answer questions or assemble data for supervisor or other staff, including file management, conversion, uploading, and revising copy according to department procedures and deadlines.
  • Maintain and reconcile financial reports and records; prepare accounting data for processing; review timecard information and resolve discrepancies.
  • Other duties maybe required and assigned by thesupervisor.
WHAT YOU SHOULD BRING:

The ideal candidate for the Administrative Assistant II position will possess:

  • Strong written and verbal communication skills with keen attention todetail.
  • Excellent proofreading and editingskills.
  • Ability to establish and maintain cooperative working relationships with a large and diverse staff, and work effectively as part of a team or independently to complete work assignments.
  • Skill in organizing, assessing, and prioritizing multiple tasks, projects, anddemands.
  • Intermediate knowledge of Microsoft Office software (Outlook, Word, PowerPoint, Excel) and Adobe Acrobat.
  • Experience with maintaining electronic databases and ability to quickly learn new computer programs (i.e. Kronos, FileNet, and planning-related programs).
  • 1. High school diploma or a Certificate of General Educational Development (GED).
  • 2. Two (2) years of progressively responsible experience in administrative support and clerical work or customer service that typically involves performance of a range of general office support functions.
  • 3. An equivalentcombination of education and experience may be substituted, which together total 2 years.

The M-NCPPC offers a competitive salary range of $43,345 - $76,766 (salary is commensurate with education and experience) at the Administrative Assistant II level with excellent benefits including generous leave, extensive health coverage, deferred compensation plan, and employee pension plan.
