Job summary

GRDA is seeking an Administrative Assistant to provide administrative and operational support to the External Relations team. This role serves as a central point of coordination for scheduling, communications, purchasing, meeting and event logistics, records management, travel coordination, and general office administration.

Based at the Grand River Energy Center in Chouteau, OK, the position requires an Associate degree and at least 3 years of admin experience, proficiency with Microsoft

Qualifications

  • Associate degree or equivalent with at least 3 years of admin support experience.
  • Proficiency with Microsoft Office Suite and strong organizational skills.
  • Knowledge of legal documentation preferred and ability to handle confidential information.

Responsibilities

  • Provide day-to-day administrative support for staff within a department(s).
  • Coordinate scheduling, communications, purchasing, and meeting logistics.
  • Support travel arrangements, expense reporting, and event coordination.
  • Maintain records and assist with procurement and contracting matters as needed.
  • Coordinate with internal departments and external partners to facilitate information flow.
  • Perform other duties and responsibilities as assigned.

The Administrative Assistant provides administrative and operational support to the External Relations team. This position serves as a central point of coordination for departmental activities, including scheduling, communications, purchasing, meeting and event logistics, records management, travel coordination, and general office administration.

Essential job functions
  • Provide day-to-day administrative support for staff within a department(s).
  • Prepare, edit, and proofread correspondence, reports, presentations, and legal documents, ensuring accuracy and compliance with company standards.
  • Assist with tracking deadlines, permits, and compliance obligations, as required by the department.
  • Maintain and organize electronic and hard-copy files, ensuring accurate recordkeeping and document retention in accordance with company and legal requirements.
  • Support the preparation of reports, filings, and submissions to ensure compliance.
  • Assist staff with purchasing and procurement matters to support effective management of contracts for required services.
  • Coordinate with internal departments and external partners to facilitate information flow.
  • Coordinate travel arrangements, conference registrations, and expense reporting.
  • Manage calendars, schedule meetings, coordinate appointments, and organize meeting logistics.
  • Coordinate department purchasing activities, including purchase requisitions, purchase orders, invoices, and vendor communications.
  • Coordinate meetings, employee events, community outreach activities, and other department-sponsored events.
  • Perform other duties and responsibilities as assigned.
Skills, Knowledge, Qualities
  • Proficiency with Microsoft Office Suite.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • High attention to detail, accuracy, and confidentiality.
  • Ability to work independently and collaboratively within a team.
  • Knowledge of legal documentation and terminology, preferred.
Education, Training, Experience
  • Associate's degree in business administration, legal studies, or related field; or equivalent combination of education and administrative experience.
  • Minimum 3 years of administrative support experience.
Certificates, Registrations, Licenses
  • Valid Oklahoma driver's license, or the ability to convert within 30 days for those with an out of state driver's license that are an Oklahoma resident.
Physical/Mental Requirements & Working Conditions

Work is performed in a standard office setting. Business-related travel may be required for training purposes and miscellaneous meetings.
