Job Description:

We are seeking a highly motivated and organized Administrative Assistant to join our Home Care Agency team. The ideal candidate will provide essential administrative support, ensuring that daily operations run smoothly and efficiently. This role is integral to the success of our agency, which provides compassionate in-home care for individuals in need. The Administrative Assistant will work closely with office staff, caregivers, and clients to maintain organized records, manage schedules, and assist with various clerical tasks.

Responsibilities:

  1. Client Coordination: Answer phone calls and emails, respond to inquiries, and assist clients and families in scheduling services.
  2. Scheduling & Calendar Management: Coordinate appointments, home visits, and caregiver schedules. Ensure the correct allocation of caregivers based on availability and client needs.
  3. Document Management: Maintain client files, including medical records, care plans, and other required documentation. Ensure all records are up-to-date and comply with industry regulations.
  4. Data Entry: Input and update client and caregiver information into the agency's management system.
  5. Billing & Invoicing: Assist with the preparation of client billing, insurance claims, and payment processing.
  6. Communication & Support: Serve as a liaison between clients, caregivers, and family members, providing updates on care plans and addressing concerns.
  7. Office Organization: Maintain a clean and organized office, including ordering supplies and managing office equipment.
  8. General Administrative Support: Assist with a variety of administrative tasks, including filing, mailing, and correspondence.

Qualifications:

Education: High school diploma or equivalent required. Associate’s degree or higher in Business Administration, Healthcare Administration, or related field preferred.

Experience: At least 1-2 years of administrative experience, preferably in healthcare, home care, or a related field.

Skills:

  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Strong multitasking and time-management abilities.
  • Knowledge of home care industry regulations is a plus.
