Administrative Assistant / Care Coordinator

Location: Phoenix, AZ
Job Type: Full-Time, On-Site
Schedule: Monday-Friday, 8:00 AM-5:00 PM (occasional Medical Readiness Events may be required)

Starting salary $65K/yearly

About the Position

A-Team Solutions is seeking a highly organized Administrative Assistant / Care Coordinator to support the Arizona Army National Guard (AZARNG) Office of the State Surgeon. This role provides administrative and care coordination support to the Nurse Case Management team and assists in maintaining Soldier medical readiness records, scheduling activities, and case management documentation.

Essential Duties and Responsibilities
  • Provide administrative support to the Nurse Case Management team.
  • Assist with tracking and managing Soldier medical readiness cases.
  • Document case management activities and communications within eCase and related systems.
  • Schedule appointments and coordinate care with medical, dental, behavioral health, and military treatment facilities.
  • Obtain and process medical records, releases of information, and supporting documentation.
  • Upload, file, scan, and maintain electronic and hard-copy medical records in accordance with Army regulations and HIPAA requirements.
  • Generate reports, readiness statistics, and ad hoc data requests.
  • Monitor medical readiness systems, including MEDPROS, MODS, MEDCHART, HRR, and DENCLASS.
  • Assist with Soldier Readiness Processing (SRP) events and Periodic Health Assessments (PHA).
  • Track appointments, referrals, and follow-up actions to ensure timely case resolution.
  • Coordinate with Soldiers, military units, healthcare providers, and government personnel regarding readiness requirements.
  • Maintain accurate records and assist with quality control reviews of case management documentation.
  • Provide regular updates and reports to leadership and case managers.
Minimum Qualifications
  • Associate degree in Healthcare Administration, Business Administration, Public Health, or related field; OR
  • Bachelor's degree in a healthcare-related field.
  • Experience working in a healthcare, military, medical office, case management, or care coordination environment.
  • Strong administrative, organizational, and customer service skills.
  • Proficiency with Microsoft Office Suite.
  • Ability to manage multiple priorities and maintain attention to detail.
  • Knowledge of HIPAA and confidential records management.
  • Ability to obtain required government credentials and installation access.
Preferred Qualifications
  • Experience working with military personnel, veterans, or government healthcare programs.
  • Knowledge of medical records systems and healthcare databases.
  • Previous care coordination, healthcare administration, or patient services experience.
