Job Duties

The Division of Enrollment Management is seeking a highly organizedand customer-focused Administrative Assistant to support the dailyoperations of the division. This full-time position plays a vitalrole in ensuring efficient office operations and exceptionalservice to students, faculty, staff, employers, and communitypartners.

This Administrative Assistant will coordinate a variety ofadministrative and operational responsibilities including managingdivision-wide calendars and schedules, reserving event spaces,ordering supplies, processing catering and meal requisitions, andassisting with division-wide events and initiatives. This positionserves as a key communication liaison across multiple offices andwill provide timely follow-up regarding programs, services, andevents.

This role will work with various campus systems and databases toverify information, update records, maintain event details, andsupport accurate reporting and communication across thedivision.

As a support role within Enrollment Management, this position willengage in many facets of the student's experience from orientationthrough graduation. The Administrative Assistant will support teamsfocused on student retention, engagement, career readiness, andhelping students identify and navigate their academic andprofessional pathways.

The ideal candidate will demonstrate strong organizational skills,attention to detail, professionalism, and the ability to buildpositive relationships with a wide range of constituents. Successin this role requires the ability to manage multiple priorities ina fast-paced environment while maintaining excellent customerservice and communication.

Primary Responsibilities
  • Coordinate division-wide calendars, meetings, and eventlogistics
  • Reserve campus and off-campus spaces for meetings and specialevents
  • Process catering requests, meal requisitions, and supplyorders
  • Financial processing and money handling
  • Utilize various systems and databases to verify information,maintain records, and update event details
  • Provide customer service and front-line support to students,faculty, staff, employers, and visitors
  • Communicate detailed information regarding programs, services,and events
  • Assist with planning and staffing division events andstudent-focused initiatives
  • Support collaboration across Enrollment Management, Career& Professional Development, and New Student & RetentionPrograms
  • Maintain records, files, and administrative documentation
  • Support student success initiatives from orientation throughgraduation
  • Assist with office operations and other duties as assigned
Qualifications

Position Details

Key Job Responsibilities
  • Develops, implements, and maintains methods and organizationalsystems directed at the maintenance of electronic/physical recordsrelated to work operations according to established policies andprocedures
  • Schedules logistics and secures resources for meetings,conferences, travel, and work unit operations
  • Develops, sends, receives, copies, and distributescommunications to the appropriate entities according to establishedpolicies and procedures
  • Prepares and audits complex records, edits documents, andreviews work done by others
  • Serves as a primary point of contact for individuals andgroups, provides organizational information via phone, in person,and through other communication mediums
