Job Summary

The successful candidate will provide exceptional customer service through comprehensive advising, community outreach, and technical support to the Associate Vice President for Academic Affairs and Dean of Business and Professional Studies, the Chair of Education, and the faculty within the School of Business and Professional Studies (SoBPS).

This position carries significant responsibility for complex advising and community outreach functions, including but not limited to coordinating all aspects of student advising for SBPS students; assisting with the course scheduling processes; supporting institutional effectiveness and assessment initiatives; facilitating community outreach projects and internship placements.

This is a full-time staff position that reports directly to the Associate Vice President for Academic Affairs and Dean of Business and Professional Studies.

Responsibilities
Administrative Duties -

Provide administrative support to the School of Business and Professional Studies through correspondence, records management, data entry, and document preparation.

Assist with budget tracking, expense processing, and maintaining accurate financial and operational records.

Coordinate calendars, schedule meetings, and support day-to-day office operations and customer service functions.

Support the planning and execution of academic events, orientations, student engagement activities, workshops, and special projects.

Maintain departmental files, databases, and reports, ensuring accuracy, organization, and confidentiality.

Review and process forms and documentation for completeness and compliance with institutional policies and procedures.

Serve as a resource to faculty, staff, and students by providing information on departmental processes, services, and administrative procedures.

Academic Advising

Track Agriculture, Business Administration, Computer Science, Criminal Justice, Education, Elementary/Special Education, Management, and Logistics students¿ progress toward degree completion and enter schedule into Banner.

Advises SBPS students with regards to class schedule and internship placements.

Advise others on processes, procedures, and services.

Assist faculty with student advisement during scheduled academic advisement (e.g., ROAR, SOAR)

Communicates requirements and deadlines for Bachelor's degree programs to prospective students.

Gather information and prepare various reports and correspondence; researches and resolves issues.

Recruitment Strategies & Events

Maintain responsibility for accountability as outlined by the Associate Vice President for Academic Affairs and Dean of Business and Professional Studies.

Implement advising and community outreach strategies outlined by both the Associate Vice President for Academic Affairs and Dean of Business and Professional Studies and the Chair of Education.

Perform a variety of advising and community outreach duties for students within the SBPS programs, notifying students of deficiencies in course requirements, graduation application, etc. and notify them of acceptance or denial into a SoBPS baccalaureate program, maintaining advising appointments when meetings conducted.

Plan and coordinate projects, events, and special activities such as orientations, consultations, Career Days, etc.

Assist in the development and maintenance of student academic pathways, Banner, and databases.

Review and verify documentation for completeness and compliance with policies and procedures.

Assist students, faculty, and staff with recruiting activities and events.

Recruiting & Building Relationships with Students

Actively recruit associate level students through continuous advisement appointments, work with Dual Enrollment students, and various high school visits.

Build relationships through emails, advising appointments, phone calls, etc. to recruit them into the various programs within SoBPS.

Process travel/expense vouchers and completes departmental requisitions (DRs).

Completion of an Associate degree or two years' experience in an administrative position.

Proposed Salary

Annual Salary $35,000 plus benefits.

Knowledge of SGSC business procedures, methods and techniques.

Knowledge of computer software (i.e., Adobe, Microsoft Word, Excel, PowerPoint, Outlook).

Knowledge of automated SGSC systems and USG¿s systems and applications.

Considerable knowledge of web page building

Considerable knowledge of business English, spelling, punctuation, and arithmetic

SKILLS

Strong organizational and communication skills.

Skilled in working with databases including exporting of data and generating reports.
