Position Title: Administrative Assistant to Principal

Department/Building: Brainerd High School

Reports to: Principal - Karrie Boser

Position Duty Days: 8 hour days, 11 months

Contract: Secretarial-Clerical Contract

Full Time - Full Benefits (Health, Dental, Vision, Life, MN PERA, 403b, LTD, Paid Sick/ESST, Paid Holidays, Paid Vacation)

Salary Range: $20.39 - $21.42 per hour - New Hire

Union - AFSCME Council 65

FLSA: Non-Exempt

Position Information

Under the direct supervision of the principal or other administrator, the principal administrative assistant will provide clerical, secretarial and administrative assistance to school administrators at a school site, conveying information regarding school functions and procedures; and supporting the broad array of services provided to students, parents, instructional and support employees. The position may provide more detailed support regarding finance and HR responsibilities and other administrative duties as assigned.

Essential Functions
  • Assist the building administrative team with day to day tasks including calendar management, parent/student communications and staff communications.
  • Prepare and submit academic purchasing requests with district procedures, Prepare purchase orders for the purpose of submitting to the school district's accounting/finance office.
  • Track and maintain department budgets including tracking accounts payable
  • Submit accounts payable billing for payment and check requests
  • Assists in planning and scheduling school events and activities, and maintaining calendar of conference rooms and other spaces for school and students events for the purpose of coordinating and scheduling events such as orientation, open house, field trips, assemblies, conferences, graduation, daily meetings, etc.
  • Assists in maintaining documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
  • Assists in maintaining inventories of supplies and materials for the purpose of ensuring items' availability.
  • Assist visitors to the office, including students, parents, substitute teachers, and others.
  • Answers telephone calls, and provides information and assistance to callers.
  • Distribute incoming mail appropriately; send outgoing mail.
  • Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Responds to inquiries from students, parents and employees, providing information, facilitating communication among parties and/or providing direction.
Additional Duties

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.
