General Definition of Work
The Administrative Assistant/Attendance Clerk provides administrative and clerical support to the school office while maintaining accurate student attendance records and assisting students, parents, staff, and visitors. This position serves as an important point of contact with the school and requires professionalism, organization, confidentiality, and strong attention to detail. The Administrative Assistant/Attendance Clerk works closely with school administrators, teachers, students, families, and other staff to ensure attendance information is accurate, timely, and maintained in accordance with district and school procedures.

The normal place of work is on the premises used by Rock Hill Schools. Rock Hill Schools reserves the right to require you to work at such other place(s) as it may reasonably require from time to time.
Essential Functions
- Maintains accurate daily attendance records for students and makes necessary updates and corrections in the student information system. Receives, verifies, and documents excuses for student absences and tardiness in accordance with school and district procedures.
- Monitors attendance information and communicates with teachers, administrators, students, and parents regarding attendance concerns, missing information, and related questions. Assists with identifying attendance issues and provides appropriate documentation or information to school administrators for follow-up.
- Answers and directs telephone calls, responds to routine inquiries, takes messages, and provides accurate information to students, parents, employees, and visitors. Greet visitors and assists with maintaining an orderly and welcoming school office environment.
- Provides general administrative support to the principal, assistant principals, and other school office staff. Prepares correspondence, reports, forms, notices, and other documents as needed. Maintains organized files and records and assists with retrieving information when requested.
- Assists students and staff with routine office needs and provides information regarding school procedures, schedules, attendance requirements, and other general school matters. Uses discretion and sound judgment when handling student, employee, and family information.
- Processes and maintains attendance-related documentation, including absence notes, early dismissals, late arrivals, check-outs, and other records as assigned. Assists with verifying and reconciling attendance information to ensure records are complete and accurate.
- Assists with student check-in and check-out procedures and follows established safety and identification procedures for students, parents, and visitors. Communicate with parents and guardians regarding student attendance and other routine office matters as directed.
- Prepares and maintains reports related to attendance and other assigned areas. Assist administrators with compiling information and completing routine reports and records required by the school or district.
- Maintains confidentiality of student, family, and employee information and follows district policies and applicable laws and regulations regarding the handling of confidential records.
- Receives, sorts, distributes, and prepares mail, forms, correspondence, and other materials. Maintains office supplies and notifies appropriate personnel when supplies or materials need to be ordered.
- Assists with school activities, registration, enrollment, testing, meetings, and other administrative functions as assigned. Provides coverage and support for other office staff as needed to maintain effective daily operations.
- Performs other related duties as assigned by the supervisor.
Knowledge, Skills, Abilities
- Knowledge of general office practices, procedures, and equipment.
- Knowledge of basic recordkeeping and data entry procedures.
- Ability to maintain accurate and confidential records and enter information accurately into computer systems.
- Ability to communicate effectively and courteously with students, parents, employees, and visitors.
- Ability to organize work, establish priorities, meet deadlines, and manage multiple responsibilities.
- Ability to exercise sound judgment and maintain confidentiality when handling sensitive information.
- Ability to work independently while also working effectively as part of a school office team.
- Ability to establish and maintain positive working relationships with students, families, staff, and the community.
Education and Experience
- High school diploma or equivalent required; associate degree in business, accounting, finance, or a related field preferred.
- Minimum of two (2) years of clerical, administrative, attendance, school office, or customer service experience preferred.
- Experience working in a public school or educational setting preferred.
- Experience working in a school or educational setting is desirable. Must demonstrate proficiency with computers, email, word processing, spreadsheets, and other commonly used office technology.
- Equivalent combinations of education, training, and experience that provide the required knowledge, skills, and abilities may be considered.
- Regular interaction with staff, administrators, and the public in a busy office setting.
Special Requirements
- Must have and maintain a valid Driver’s License or ability to provide own transportation
- Must be able to provide negative TB test results prior to employment.
Physical Requirements/Work Conditions
- Work is typically performed in a standard office or school environment.
- May requires prolonged periods of sitting, standing, and walking.
- Frequent use of hands and fingers for typing, filing, and operating office equipment.
- Must be able to lift, carry, or move materials and supplies up to 25 pounds.
- Visual acuity required for reading documents, data entry, and computer work.
- Hearing and speaking abilities are sufficient for clear communication in person, virtually, and over the phone.
- May require occasional bending, reaching, or stooping to retrieve or file materials.
- Regular interaction with staff, administrators, and the public in a busy office setting.
- May be required to travel between district sites or attend meetings as needed.

Pre-Onboarding Requirements
As a condition of employment and prior to onboarding, the district will conduct a criminal history background check. The recommended candidate will be required to provide personal information necessary to complete the background check such as date of birth, gender, and race to remain in compliance with applicable laws and regulations.
