Job description

Administrative Assistant/Account Clerk

Position Summary:

The Administrative Assistant/Account Clerk provides secretarial support to the program. In addition, the incumbent prepares documents for Board Member expenses and fills in for fiscal technicians during periods of heavy workloads or as requested.

Essential Functions:

  1. Drafts, composes and types memos and correspondence as requested.
  2. Prepares packets for all program meetings.
  3. Types proposals, reports, and minutes according to established formats.
  4. Assist in the planning, coordination and performance of special programs, conferences, workshops and committee functions.
  5. Attends meetings when requested for purposes of staffing registration, coordinating facility staff, active participation and to record proceedings and gather data on health and community related issues.
  6. Responds to routine requests for program information.
  7. Maintains program filing system including payroll, purchase order and accounts payable files.
  8. Maintains program mailing lists.
  9. Operates general office machines.
  10. Prepares expense reports and vouchers for Board members.
  11. As required, enters data into the accounting system for purchase orders and accounts payable.
  12. Verifies from the U.S. Department of Health and Human Services Office of Inspector General List of Excluded Individuals/Entities that vendors are eligible for participation under Medicare, Medicaid and other Federal health care programs.
  13. Maintains leave balance reports.
  14. Maintains active employee list.
  15. Regular and predictable attendance.
  16. Other duties as assigned.

Additional Responsibilities:

  1. Maintain a valid, unrestricted driver’s license and ability to be insurable under CRIHB’s automobile insurance.
  2. Position requires occasional over night travel within CRIHB’s service area.
  3. Requires ability to drive up to 7 hours a day.

Qualifications:

  1. Must have two years of secretarial experience in a similar position.
  2. Must be able to type accurately 65 WPM.
  3. Must have knowledge of computers (word-processing, etc.) general office machines, modern office methods, and business English usage.
  4. Must be able to assume individual initiative and have the ability and flexibility to work overtime and attend night and weekend meetings when assigned.
  5. Regular and predictable attendance.

This position requires an awareness and keen appreciation of American Indian traditions, customs and socioeconomic needs and the ability at all times to meet and deal effectively in contacts with Indian organizations which requires tact, courtesy, discretion, resourcefulness, and good judgment in handling functions of a sensitive nature.

Preference in hiring is given to qualified American Indians in accordance with the Indian Preference Act (Title 25, U.S. Code, Sections 472 and 473). Applicants claiming Indian Preference must submit Indian verification, certified by Tribe of affiliation or other acceptable documentation of Indian heritage.
