Administrative Assistant, A&R
We are looking for a highly organized and proactive administrative professional to support the LA-based A&R team, ensuring smooth day‑to‑day operations and exceptional support for executives and songwriters.
Key Responsibilities
- Manage calendars for A&R executives and writers, ensuring all meetings, studio sessions, and event dates are scheduled and coordinated.
- Prepare, process, and reconcile expense reports, and maintain accurate financial records.
- Coordinate domestic and international travel, including itineraries, accommodations, and expense forecasts.
- Organize writing sessions, studio bookings, and coordinate with writers and production teams.
- Screen all correspondence, including incoming mail, phone calls/inquiries, and forward important items to the appropriate parties.
- Maintain department files, records, publications, and a comprehensive show and event calendar.
- Obtain splits, co‑writer, and publisher information for new releases, delivering accurate data to the copyright department via the AS/400 system.
- Assist in preparing recurring internal reports, mandatory documentation, and varied administrative tasks.
- Proofread and edit drafts and final materials for consistency, accuracy, and compliance with mandatory guidelines.
Qualifications
- High school diploma mandatory; bachelor’s degree preferred (ideally in music publishing, business administration, or related field).
- 1–2 years of mandatory administrative experience in a music publishing or related business, or equivalent combination of experience, education, and training.
- Strong organizational skills with meticulous attention to detail.
- Effective written and verbal communication skills.
- Proficiency with Microsoft Office Suite, calendar management tools, and basic knowledge of AS/400 preferred.
- Familiarity with contemporary music and current music trends is preferred.
