Qualifications

Salary Information

HIRING RANGE : $27.06-$29.45 per hour based on experience. Pay Grade: CI

Job Summary

Perform administrative support of considerable difficulty, diversity, scope, depth and confidentiality in assisting the Operations department in carrying out responsibilities. This position deals almost exclusively with executive-level, institution-wide issues.

Essential Functions

Serve as liaison between the administrator, internal departmental staff and college departments, and external agencies, stakeholders, and other organizations. May serve as an office manager providing work direction to work study, student and/or non-regular employees.

Prepare and process personnel and payroll documents, maintain attendance records, and monitor leave usage. Prepare or review and process work orders, purchase orders, expense reports, and requests for pays; order and maintain supplies.

Greet and screen office visitors and callers, resolving matters or making referrals as appropriate. Maintain appointment schedules and make time commitments and travel arrangements. Plan and schedule meetings involving internal and external participants.

Assist in budget preparation by gathering fiscal data and compiling projections. Maintain budget accounts, monitor expenditures, and initiate budget and journal transfers.

Compose or prepare correspondence, minutes, reports, statistical documents, etc. Read, sort, and distribute incoming mail and process outgoing mail; organize and maintain operational paper and electronic files. Provide support to, or maintain databases for, institutional committees or institution-wide activities.

Support the Vice President of Operations in the management of College facilitates including rental arrangements, scheduling, communication, filing, and reconciling.

Required Qualifications

High school graduate or equivalent. Four years of clerical or general office experience. (Post-secondary education in any field may substitute for up to one year of the required experience. Fifteen semester hours are equivalent to six months of experience). Strong customer service experience. Strong communication skills. Ability to plan, organize and manage time. Demonstrated ability to establish and maintain a professional working relationship with a wide variety of individuals coming from varied backgrounds. Adept at using Microsoft applications to create and manipulate spreadsheets, extract data from information systems and databases to produce reports, develop PowerPoint presentations, and other documents.

Desired Qualifications

At least two years of executive administrative support in an educational institution. Post-secondary education. Experience with organizing and scheduling meetings. Exceptional people skills with ability to communicate clearly and respectfully. Experience and commitment to working with varied populations. Ability to handle multiple projects and meet deadlines in a fast-paced work environment. Demonstrated ability to work independently and as a team player.
