Forsyth County's Department of Public Health seeks an Administrative Assistant to provide senior-level executive support to the Public Health Director and act as a trusted liaison for the Director's office.

This role coordinates administrative and operational support for the Health and Human Services (HHS) Board, including meeting logistics, notices, agendas and materials, onboarding, minutes, and communications with Board members and County departments.

Qualifications

  • Two-year Associate's Degree or equivalent and three to five years of experience in performing the duties of an Administrative Assistant.
  • A valid driver's license is required.
  • Higher education level may substitute for all or part of the experience requirement.
  • Ability to manage multiple priorities, maintain confidentiality, and communicate professionally.

Responsibilities

  • Coordinate general facility needs for the Department of Public Health and track service requests.
  • Provide high-level administrative and operational support to the Public Health Director.
  • Serve as liaison for matters involving department leadership, County administration, HHS Board and external partners.
  • Support human resources and administrative functions; attend meetings on behalf of the Public Health Director.
  • Maintain discretion, professionalism, and judgment for sensitive information.
  • Develop and revise work procedures and train employees in procedures.
  • Manage records and reports related to program objectives.
  • Perform related work as required.

Job description

Forsyth County's Department of Public Health has an opening for an Administrative Assistant. This position provides senior-level executive administrative support to the Public Health Director and serves as a trusted liaison for the Public Health Director's office. This position also provides comprehensive administrative coordination and operational support for the Health and Human Services (HHS) Board, including meeting logistics, public notices, agendas and materials, member onboarding, stipends, minutes, recognition, and communication with Board members and County departments. Work requires contact with clients from various cultures that speak many languages.

Work Hours: 8 am - 5 pm Monday through FridayA successful candidate should have the following knowledge, skills and abilities:

  • Ability to independently manage multiple priorities and sensitive matters in a fast-paced environment.
  • Ability to demonstrate excellent judgment, discretion, confidentiality, attention to detail, and problem-solving skills.
  • Strong interpersonal skills for working effectively with executive leadership, Board Members, County officials, Employees and External Partners.
  • Knowledge of purchasing, travel processes, and general office technology.
  • Proficiency in calendar and meeting management, written communication, records and policy administration, project coordination, purchasing and travel processes, and general office technology.
  • Ability to anticipate needs, follow through on assignments, meet deadlines, and professionally represent the Public Health Director's Office.
  • Ability to maintain effective working relationships with other employees.
  • Ability to effectively prioritize and manage multiple assignments while maintaining accuracy, responsiveness, and confidentiality.
  • Ability to communicate with others tactfully and courteously.
  • Ability to maintain work standards of program activities and ability to analyze and correct errors.
  • Ability to summarize, compile, and tabulate narrative and numerical material.
  • Ability to interpret and analyze applicable program content objectives and make necessary decisions.
  • Thorough knowledge of office management techniques including the ability to organize workflow and coordinate activities.

Essential duties and responsibilities include but are not limited to:
  • Coordinating the general facility needs of the Department of Public Health including initiating and tracking requests for facility-related services through the Assets Essentials System and with County Departments, Vendors, and Other Service Providers as necessary.
  • Provides high-level administrative and operational support to the Public Health Director and serves as a key point of coordination for matters requiring the Public Health Director's attention.
  • Serve as a primary administrative liaison for the Public Health Director and assists in ensuring timely coordination and follow-through on matters involving department leadership, County administration, the Health and Human Services (HHS) Board and external partners.
  • Support for selected human resources and administrative functions, preparation and dissemination of information, and attendance at meetings on behalf of the Public Health Director when appropriate.
  • Practices a high level of discretion, confidentiality, professionalism, and judgment as this position routinely has access to sensitive information involving the Public Health Director, department operations, personnel, and HHS Board activities.
  • Provides comprehensive administrative coordination and support for the Health and Human Services (HHS) Board.
  • Develops and/or revises work procedures and methods including necessary form design; trains employees in work procedures.
  • Manages records and reports activities involving implementation of program objectives using existing procedures or devising new methods as necessary.
  • Performs related work as required.
