Your Responsibilities
Position Overview
We are seeking a proactive and detail-oriented professional to provide administrative and marketing support to multiple leaders, including Producers. This role requires the ability to work independently while taking general direction from each Producer and reporting directly to the Operations team. This is a hybrid position based onsite four days per week, with the flexibility to work remotely one day. Candidates must be available to work onsite for a fifth day if business needs require.
Position Responsibilities
- Makes various business appointments for assigned Producers.
- Manages calendars and schedule appointments.
- Coordinates and arrange travel arrangements, including flights and accommodations.
- Process expense reports using knowledge of client/ prospect activity and ensure timely reimbursement to the Producer.
- Plans, organizes, and coordinates conferences, meetings, and events.
- Meets with producer or leaders you support as needed to provide update on current work assignments.
- Manages the new business production reports for select producers.
- Organizes and maintains files of correspondence and other records, ensuring documents are easily accessible.
- Conducts research, collects and analyzes data, and prepares briefing materials for meetings.
- Answers questions and/or refers calls to appropriate department or individual,
- Performs data entry of contacts/prospects and perform mail merges for marketing mailings.
- Protects the confidentiality of information learned by performing the duties of the position.
- Prepares, edits, and organizes a variety of correspondence, reports, presentations, and documents in support of new business development activities.
- Conducts follow-up calls to ensure information was received.
- Receives, reads and is proactive in handling daily mail and email as directed by individual producer, and initiates action on items requiring immediate attention.
- Provides front desk support as necessary.
- May perform public relations work for producers, including coordinating special events, luncheons, golf outings and seminars.
- Coordinates the purchase and distribution of holiday gifts for clients and greeting card mailings.
- May attend client/prospect meetings or social events with Producer to assist as requested.
- Provides technical writing support for blog updates, various social media and online sites in support of Producer activity.
- Performs other responsibilities and duties as needed.
Qualifications
- Bachelor’s degree in marketing, general business or equivalent education or experience preferred.
- Minimum of 1 to 3 years of professional experience performing executive-level sales support or similar administrative experience in a corporate environment whereby the last two years were spent supporting a team of executives.
- Proficiency in the use of Microsoft Office, including Word, Excel, PowerPoint and Access.
- Advanced skills with email and calendar systems such as Outlook.
- Experience with internet, including knowledge of LinkedIn, Facebook and other social media for the purposes of professional networking.
- Experience preferred but not required using a CRM system such as Salesforce.
- Ability to organize and prioritize work and to meet deadlines.
- Organizational and time management skills to prioritize busy workload to meet time sensitive deadlines.
- Strong verbal, written, analytical and interpersonal skills.
- Firm, fluent grasp of the English language with high level verbal, written, listening, and interpersonal skills to interact with associates at all levels of responsibility.
- Demonstrated ability to instill confidence and comfort with co-workers.
- Ability to make decisions in compliance with established company standards of quality performance and service.
- Appropriately assertive personal presence to interface with clients, associates and other individuals, in both one-on-one and group situations, representing Lockton in the highest professional manner.
- Strong value of service to others.
- Ability to perform simultaneous multiple tasks with ability to respond and refocus quickly.
- Ability to travel by automobile and aircraft and to stay for more than one day and night in commercial lodging facilities.
- Ability to attend company, department, and team meetings as required, including industry training sessions
- Ability to comply with all company policies and procedures, proactively protecting confidentiality of Client and company information
- Ability to efficiently organize work and manage time to meet deadlines
- Ability to use office equipment such as a computer, keyboard, calculator, photocopier, and facsimile machine
- Ability to work on a computer for a prolonged amount of time
- Ability to work outside of normal business hours as needed
- Ability to play as a team member as needed.
- Legally able to work in the United States
