What we’re looking for:

Reporting to the Head of North America, the Administrative Assistant is a highly detail‑oriented and autonomous professional who provides comprehensive and sophisticated administrative, logistical, and strategic support to the US Operations of a global organization. This role serves as the primary contact for internal and external stakeholders and acts as a central hub for the US team, ensuring smooth day‑to‑day operations. This is a dynamic position that combines strategic business support with selective personal assistance, requiring exceptional discretion, proactivity, and professional judgment.

The ideal candidate is someone who can move fluidly between classic administrative support and strategic operational partnership. You’ll help translate ideas into action, ensure communication flows clearly across teams and anticipates what’s needed before anyone has to ask.

What You’ll Do:

Administrative Support

  • Provide comprehensive administrative support to leadership, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Assist with ad‑hoc projects and requests from leadership.
  • Manage all aspects of internal and external meetings, including preparing and distributing agendas, booking appropriate conference rooms, ensuring the meeting space is properly equipped (e.g., technology, supplies), and providing on‑site support as needed.
  • Provide proactive support by anticipating the needs of leadership and taking initiative to address them effectively.
  • Liaise across functions and time zones, ensuring smooth communication between the Head of North America, the leadership team, and global colleagues.

Office Management & Culture

  • Manage vendors, invoicing, supplies, shipping, systems, and databases with precision and pride.
  • Manage and maintain the office calendar, including scheduling closures and important events.
  • Plan and execute office events, including social gatherings, team‑building activities, and holiday celebrations.
  • Support office operations and coordination, ensuring the space and team are set up for success.
  • Assist with light HR administration (e.g., onboarding, file management).
  • Manage facility knowledge management by keeping all documents pertaining to the building up to date and stored in shared drives.
  • Foster an organized, welcoming, and collaborative office environment.

What You’ll Need:

  • 3+ years of experience in an administrative role supporting executives and leadership.
  • A proactive, anticipatory mindset – you’re always thinking two steps ahead.
  • Strong project management skills – you follow through relentlessly and don’t drop the ball.
  • Concise communicator – you know how to get to the point and keep things moving.
  • Sharp attention to detail and the ability to spot (and fix) inefficiencies before anyone else notices.
  • Grace, professionalism, and discretion when handling sensitive information.
  • Confidence using Microsoft Office Suite (Word, Excel, PowerPoint, Teams, SharePoint) and a curiosity for learning new tools.
  • Structured and proactive – you don’t wait for direction. You see what’s needed, organize it, and make it happen.
  • The ability to thrive in ambiguity and make sound decisions under pressure.
  • Resourceful team player – you build trust and relationships with stakeholders easily, and work collaboratively across all levels of the organization.

Salary Range: 75,000 – 85,000
