Lutheran Social Services of Wisconsin & Upper Michigan is seeking an organized, dependable Administrative Assistant to support our Veterans Housing Program in Union Grove. Responsibilities

  • Provide clerical and administrative support to program leadership and staff.
  • Prepare, format, proofread, and distribute documents and materials.
  • Record and distribute meeting minutes and maintain meeting sign-in documents.
  • Prepare daily attendance and sign-in materials and communicate attendance updates.
  • Maintain transportation calendars, schedules, phone lists, mailboxes, room information, and other program records.
  • Update records for new admissions and individuals leaving the program.
  • Prepare bed-check sheets, meal sign-in sheets, program rosters, labels, and other operational materials.
  • Process incoming and outgoing mail, prepare envelopes, and assist with donation correspondence.
  • Maintain organized electronic and paper files, logs, binders, and databases.
  • Support front desk operations by answering phones, taking messages, greeting visitors, and assisting with general inquiries.
  • Scan, copy, file, and distribute program documentation.
  • Help maintain office supplies, forms, equipment, calendars, and shared work areas.
  • Communicate professionally with program staff, veterans, visitors, vendors, and community partners.
  • Complete Friday driving-log distribution and other scheduled administrative tasks.
  • Collaborate with team members and assist with additional projects and program-specific duties as assigned.

Schedule: Part-time, 16 hours per week
Hours: 8:00 a.m. to 5:00 p.m., Thursdays and Fridays

Make a Difference Through Administrative Support

Lutheran Social Services of Wisconsin & Upper Michigan is seeking an organized, dependable, and service-oriented Administrative Assistant to support our Veterans Housing Program in Union Grove.

Our Veterans Housing Program provides temporary housing, training, and supportive services to military veterans who are experiencing homelessness or are at risk of becoming homeless, helping them work toward permanent housing. This onsite role supports the day-to-day organization and communication that help the program operate effectively and provide a welcoming, respectful environment for veterans.

What You’ll Do

What We’re Looking For
  • High school diploma or equivalent required.
  • At least one year of prior administrative experience required. An associate degree may be substituted for prior experience.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, or equivalent programs.
  • Strong organizational, proofreading, word-processing, and recordkeeping skills.
  • Excellent written, verbal, listening, telephone, and interpersonal communication skills.
  • Professional tact, sound judgment, and a strong customer-service focus.
  • Ability to manage multiple priorities and deadlines with accuracy.
  • Ability to work independently while contributing to a collaborative team.
  • Ability to work respectfully with individuals and families from varied cultural backgrounds, ages, and economic circumstances.

Physical and Work Requirements

This position requires frequent computer use and regularly involves sitting, handling materials, and communicating with others. Occasional standing, walking, stooping, kneeling, crouching, and lifting or moving up to 25 pounds may be required. The primary work environment is an office setting with a moderate noise level.
