Job summary

Skanska USA is seeking an Administrative Assistant to support office operations and ensure effective communication within the organization. This role focuses on coordinating meeting and event catering, tracking wireless devices, and providing hands-on office support in a fast-paced environment.

The ideal candidate will have strong organization, customer focus, and the ability to manage multiple priorities while performing other duties as assigned.

Qualifications

  • Minimum of 5 years of related administrative or customer service experience.
  • Proficiency with Microsoft Office (Word, Excel and Outlook) and email/calendar management.
  • Ability to stand, walk, and move throughout the office and lift/carry catering supplies.
  • Experience coordinating meetings, events, and catering logistics including room setup and vendor communication.
  • Experience supporting technology programs, wireless device tracking, inventory management, or basic wireless troubleshooting.

Responsibilities

  • Coordinate meeting and event catering, including ordering, delivery, setup, cleanup, payment processing, and vendor communication.
  • Manage calendars and conference room usage, including room calendars; greet visitors and clients; answer calls and handle mail.
  • Perform office support tasks such as stocking supplies, distributing deliveries, and moving materials.
  • Assist with setup/breakdown of meeting spaces and basic office tech support as needed.

The Administrative Assistant performs a wide range of administrative duties to support office operations and ensure effective communication within the organization. A primary responsibility of this role is coordinating meeting and event catering, including ordering, delivery, setup, cleanup, payment processing, and vendor communication. The position also supports the office wireless device program through data entry, device tracking, setup, and basic troubleshooting. Additional responsibilities include managing calendars, coordinating conference room usage and managing conference room calendars, greeting visitors and clients, answering incoming calls, handling incoming and outgoing mail, and utilizing software applications to complete tasks efficiently. This role includes hands-on office support activities such as setting up and breaking down meeting spaces, receiving and distributing deliveries, stocking office and kitchen supplies, transporting meeting materials throughout the office, and maintaining organized office and project spaces. The ideal candidate is highly organized, customer-focused, and able to manage multiple priorities in a fast-paced environment while performing other duties as assigned.

Administrative Assistant Required Qualifications:
  • Minimum of 5 years of related administrative or customer service experience
  • Proficiency with Microsoft Office (Word, Excel and Outlook) - including basic spreadsheet functions in Excel (sorting, filtering, simple formulas) and email/calendar management
  • Ability to stand, walk, and move throughout the office for extended periods of the workday and regularly lift, carry, and transport catering supplies, food and beverage deliveries, and meeting materials
  • Experience coordinating meetings, events, and catering logistics, including room setup, vendor communication, and event support preferred.
  • Experience supporting technology programs, wireless device tracking, inventory management, or basic wireless troubleshooting, as well as familiarity with Apple devices and products preferred.

Salary Low

USD $47,265.00/Yr.

Salary High

USD $70,840.00/Yr.
