Job description

We’re looking for a thoughtful, self-directed, and highly organized Administrative Assistant to support a growing professional services team in Seattle.

This role is at the heart of a small but growing office. You’ll help keep day-to-day operations running smoothly, create a welcoming environment, and make sure important details are handled without constant direction.

The ideal candidate is resourceful, independent, collaborative, and proactive — someone who can structure their own day, follow through on tasks, make routine decisions independently, and communicate proactively with remote leadership and teammates.

You’ll be the sole administrator on-site, working closely with a remote HR team and administrative colleagues across the West Coast.

What You’ll Do
  • Support day-to-day office operations and maintain a professional, welcoming, and organized workplace.
  • Process incoming mail, invoices, and expenses with accuracy and attention to detail.
  • Coordinate deliveries, vendors, building access, and maintenance as needed.
  • Manage office supplies and inventory, along with digital and physical document organization.
  • Coordinate communication between the Seattle office and remote teams through regular check-ins and status updates.
  • Support onboarding by preparing workspaces, equipment, and materials for new hires.
  • Assist with scheduling, meetings, events, and team activities.
  • Provide basic IT support, including setting up and troubleshooting laptops, monitors, headsets, and other office equipment.
  • Coordinate facilities and workplace safety needs, including maintenance vendors and required workplace documentation.
  • Maintain office SOPs, guides, and tracking documents to ensure processes stay current.
  • Manage recurring purchasing and vendor orders while tracking office spending.
  • Assist with miscellaneous administrative needs including scanning, printing, and ad hoc requests.
