About the Position
The Administrative Assistant is the first point of contact for everyone who walks through our doors, visitors, volunteers, donors, and community partners. If you're organized, personable, and good at keeping a busy office running smoothly, this role is for you.
Based at our Santa Maria campus, you'll manage front desk operations, office logistics, and administrative support for the team, helping ensure consistent, professional operations across Foodbank locations. You'll report to the Operations Manager and play a direct role in supporting the Foodbank's work to end hunger in Santa Barbara County.
Day and Hours: Monday – Friday, 8:00 am – 12:00 noon
Status: Part time (~20 hours/week), Non-Exempt, Overtime eligible
Salary Range: $23.50 - $25.50/hour, taxable, and paid bi-weekly
Location: On-site - North County Sharehouse (490 W Foster Rd, Santa Maria, CA)
Duties and Responsibilities
Front Desk Operations & Visitor Experience
- Welcome visitors, volunteers, donors, vendors, and community partners as their first point of contact.
- Manage visitor sign-in procedures and facility access.
- Receive and distribute mail and deliveries.
- Coordinate meeting room scheduling and hospitality.
- Manage organization-wide phone calls and voicemail system.
Office Operations
- Maintain office, kitchen, and printing supply inventories.
- Coordinate copier service requests and office equipment needs.
- Support office organization and supply systems.
Administrative and Organizational Support
- Provide administrative support for meetings, events, and organizational projects.
- Receive and securely handle and transfer financial donations to South County Development and Finance teams.
- Assist with calendars, reports, correspondence, and presentation materials.
- Support onboarding logistics and other administrative functions as assigned.
- Perform other duties as assigned.
Essential Skills and Experience
- Bilingual (English and Spanish)
- High school diploma or equivalent; Associate's degree preferred.
- Experience working in a business setting in administrative, receptionist, or office coordination roles.
- Excellent customer service and interpersonal skills.
- Strong organizational and time management abilities.
- Proficiency with Microsoft Office Suite.
- Ability to manage multiple priorities while maintaining accuracy and professionalism.
Preferred Qualifications
- Experience in a nonprofit or community-serving organization.
- Experience coordinating office operations.
Work Setting and Conditions
Logistical Requirements
- Successful completion of pre-employment background check, drug screen, and physical.
- Valid California driver's license, clean motor vehicle record check, and reliable transportation.
Work Environment
- Primarily based at the Santa Maria campus.
- Regular interaction with visitors, volunteers, donors, and staff.
Physical Demands
- Ability to sit, stand, walk, bend, and lift up to 25 pounds.
- Ability to use standard office equipment and computers throughout the workday.
