Job summary

Community Care Network is seeking an Administrative Assistant to be the friendly first point of contact for clients, visitors and partners. This role provides front desk support, reception, and essential administrative tasks to keep the office running smoothly.

You'll work with clinical and program teams, greet guests, manage scheduling, assist with documentation in the EMR, and help with payments and daily office operations. Prior healthcare experience is preferred.

Qualifications

  • High School Diploma or GED required.
  • Healthcare office experience preferred.
  • Experience with electronic medical records (EMR) preferred.
  • Excellent communication and listening skills; verbal and written.
  • Demonstrated problem solving and strong customer service.
  • Efficient time management and prioritization of tasks.

Responsibilities

  • Greet and direct clients and visitors in a courteous, professional manner.
  • Check appointment times and notify staff of arrivals.
  • Support staff with documentation and EMR scanning/entry.
  • Assist with patient payments and crediting accounts as needed.

Community Care Network is growing our administrative team and looking for Administrative Assistants to join us!

Community Care Network is comprised of Rutland Mental Health Services and Rutland Community Programs. Our mission is to enhance the well-being of our communities, individuals and families through responsive, innovative and collaborative human service.

As an Administrative Assistant, you’ll play an important role in creating a welcoming experience for the people we serve.

About the Role:

The Administrative Assistant serves as an important first point of contact for our clients, visitors, and community partners. This position provides front desk, reception, and administrative support while working closely with clinical and program staff.

Every day brings a variety of tasks—from welcoming clients and visitors to supporting staff, managing documentation, and helping ensure the day-to-day operations of the office run efficiently.

Schedule Options:

We are hiring for three Administrative Assistant positions , including two full-time positions and one part-time position :

  • Two Full-Time Positions: Monday–Friday, with schedules falling between 8:00 AM and 5:00 PM . These positions support our Access/DS Desk and 204 Desk .
  • One Part-Time Position: 20 hours per week , with availability to work evening hours between 3:00 PM and 7:30 PM required.
Responsibilities:
  • Greet and appropriately direct professionals and other visitors in a courteous, professional manner.
  • Greet all clients in a courteous, professional manner, checks appointment times and notifies staff of their arrivals.
  • Actively pursue client payment at time of service for all programs as appropriate and documentation of such, insuring the proper crediting of client accounts for payments received.
  • Provide administrative support to the clinical staff including preparing outgoing correspondence and scanning documents into the Electronic Medical Record.
Qualifications:
  • High School Diploma or Equivalent (GED) Required
  • Previous experience working in healthcare office preferred
  • Previous experience with electronic medical records (EMR) preferred
  • Excellent communication and listening skills; verbal and written
  • Provide problem solving skills; while maintaining a high level of customer service by demonstrating professionalism and respectfulness towards others
  • Skilled with time management; organizing day to day tasks, prioritizing deadlines, etc.
  • Demonstrated ability to defuse challenging situations
  • Must have a valid driver's license, reliable transportation with personal automobile liability insurance coverage at or above the levels mandated by the State of Vermont.
  • *Successful completion of a criminal history background check after hire.
  • Competitive Pay Range - $20.00-$21.50/hour (compensation is typically dependent upon experience)
