The Administrative Assistant provides administrative, operational, and customer service support to a department, division, program, or campus function. This position coordinates office activities, maintains records, supports budgeting and purchasing processes, schedules meetings and events, prepares correspondence and reports, and serves as a key point of contact for students, employees, and community members.

The Administrative Assistant works independently to prioritize assignments, maintain efficient office operations, support departmental initiatives, and provide exceptional customer service while ensuring confidentiality and accuracy.

This role provides comprehensive administrative, clerical, and operational support to the Dean of Career and Academic Planning and the EICC Student Services Leadership Team. This position serves on-site at the Belmont Campus.

Required Qualifications
  • Associate degree or equivalent combination of education and experience.
  • Two years of administrative, office, customer service, or related experience.
  • Proficiency with Microsoft Office Suite and standard office technologies.
  • Strong organizational, interpersonal, and communication skills.
  • Demonstrated ability to manage multiple priorities and maintain confidentiality.
Preferred Qualifications
  • Experience in higher education or a similarly complex organization.
  • Experience supporting budgets, purchasing, records management, or program operations.
Physical Demands
  • This position operates in a professional office environment and routinely uses standard office equipment including computers, phones, photocopiers, filing cabinets, and fax machines.
  • The role requires the ability to lift and move up to 10 pounds occasionally, open and access filing cabinets, and bend, reach, or stand as needed.
  • The position requires prolonged periods of sitting at a desk and working on a computer, as well as the ability to perform essential job duties with or without reasonable accommodation.

Salary $19.23/HR - $23.08/HR

Typical Duties and Responsibilities

Core Duties and Responsibilities:

  • Serves as the primary point of contact for visitors, students, employees, and community members; provides information and directs inquiries appropriately.
  • Coordinates daily office operations and administrative activities.
  • Schedules meetings, appointments, events, and travel arrangements.
  • Prepares correspondence, reports, presentations, spreadsheets, forms, and other business documents.
  • Maintains department records, filing systems, and documentation.
  • Prepares purchase requisitions, invoices, payment requests, budget transfers, and related documentation.
  • Orders office supplies and maintains inventories in accordance with established procedures.
  • Assists with departmental projects, initiatives, events, and operational activities.
  • Coordinates logistics for meetings, trainings, orientations, workshops, and special events.
  • Collects, organizes, and maintains information for reports, audits, compliance activities, and accreditation processes as assigned.
  • Assists with data entry, tracking, and reporting responsibilities.
  • Provides responsive and professional service to internal and external stakeholders.
  • Maintains confidentiality of sensitive information.
  • Supports communication efforts through preparation and distribution of materials, correspondence, and meeting documentation.
  • Participates in committees, work groups, and special projects as assigned.
  • Provides backup support for other administrative staff as needed.
  • Delivers high‑quality internal customer service and models EICC’s culture and values.
  • Performs related duties as assigned.
Department or Program Specific Duties (Area Focus)
  • Provides administrative support to the Dean of Career and Academic Planning and the Student Services Leadership Team, including management of leadership calendars, coordination of divisional meetings, and support of district-wide initiatives.
  • Manages designated Student Services and leadership email inboxes, prioritizing communications and coordinating follow-up actions as appropriate.
  • Assists with enrollment, outreach, student engagement, retention, and student success initiatives in collaboration with Student Services departments.
  • Coordinates operations related to student basic needs initiatives, including campus food pantries, sharing shelves, and other student support resource efforts.
  • Maintains and disseminates student support resource information and assists with student outreach campaigns and communications promoting available services.
  • Supports personnel‑related processes for the division, including preparation and routing of employment‑related documentation, maintenance of confidential records, and coordination with Human Resources.
  • Provides administrative support for district‑wide student success programs, including orientation activities, leadership initiatives, and college‑wide student engagement efforts.
