JOB TITLE: Administrative Assistant

DEPARTMENT: Department of Natural Resources

CLASS: Regular Full Time/Non-Exempt

POSITION SUMMARY

Under the general supervision of the Director and/or Assistant Director of Natural Resources, the Administrative Assistant manages staff timekeeping, accounting, submitter procedures, and resolves time/leave problems. Prepares purchase requisitions for procurement and processes requisitions through the Tribal Microix data system in coordination with the Tribal Financial Department. Assists the Department with compliance with the Revised 2022 Hualapai Personnel Policies and Procedures Manual, processing Personnel Action (PA) documents for submission to Human Resources, including requests, and performance standards/evaluations. Responsible for the preparation of travel authorizations and expense claims for office personnel and reviews all travel documents for accuracy and compliance with travel regulations. Prepares draft and final correspondence. Facilitates outgoing correspondence from Staff for signature by the Department Director or Tribal Chairperson. Maintains records and files of all correspondence with the Department and tracks all Agency correspondence. Receives calls, greets visitors, and refers inquiries to appropriate staff members. Receives and reviews mail for the Department and routes it to the appropriate staff member. The Administrative Assistant will be responsible for completing other duties as assigned.

ESSENTIAL JOB FUNCTIONS
  • Regular attendance is required and participation in weekly staff meetings.
  • Experience with Microix and HR Bamboo computer systems.
  • Experience using MS Office applications (Word, Outlook, and Excel).
  • File management regulations and organizational skills.
  • Demonstrate experience in staff timekeeping, accounting, travel arrangements, and general correspondence, preparation of reports, office duties, and note-taking.
  • Must have excellent verbal, communication, and time management skills.
  • Able to multitask and be organized.
  • Must have strong customer service skills, dealing with constant interactions with the public; a business casual appearance is essential.
MINIMUM QUALIFICATIONS
  • High School Diploma or G.E.D.
  • Any combination of education and experience that demonstrates the ability to perform the duties and responsibilities of the job.
  • Must be a team player to integrate with other programs within the Department;
  • Must be willing to attend and receive training related to the position;
  • Must have a valid AZ Driver’s License and be able to pass the Hualapai Tribe’s MVR check;
  • Must submit to and pass a pre-employment and random drug/alcohol screening.
