Job summary

State of Nebraska is seeking an Administrative Assistant to support the licensing processes for the Board of Engineers and Architects and to manage daily administrative duties for the Board of Geologists and the State Board of Landscape Architects.

You will review applications, coordinate meetings, prepare materials, run reports, and assist in budgeting and HR tasks under limited supervision. Travel twice yearly to national meetings is expected.

Qualifications

  • Associate degree in public or business administration, accounting, or related field.
  • One year of admin/clerical experience; can substitute education for experience on a year-for-year basis.
  • Experience with Word, Excel, and Adobe Acrobat Pro is preferred.

Responsibilities

  • Serve as primary staff liaison for the boards and handle day-to-day administrative duties.
  • Plan and coordinate budgets and assist in financial/human resources tasks as needed.

Job Description:

The Board of Engineers and Architects is looking for an Administrative Assistant who will be responsible for the E&A Board’s licensing process and the daily administration of the Board of Geologists and the State Board of Landscape Architects.
The three boards are the licensing and regulatory authorities for engineers, architects, geologists, and landscape architects, as well as organizations offering architectural, engineering, and/or geologic services in the state.

Under limited supervision, the administrative assistant:

  • Reviews applications, makes recommendations to the boards, and issues approved licenses
  • Serves as the primary staff liaison for the Board of Geologists and the State Board of Landscape Architects, providing the day-to-day administrative duties of each board. Including, but not limited to, phone and written communications, scheduling meetings, preparing meeting materials and minutes, running reports, communicating with other state agencies, and coordinating the boards’ objectives and projects as directed
  • Examines/monitors operations for compliance with policies, procedures, and processes to provide guidance to the Boards, State, and local government officials and employees, and the public to ensure proper application of these directives and processes; evaluates current/proposed policies, procedures, and processes pertinent to program-administrative functions to determine their utility and effectiveness, and recommend modifications and improvements
  • Plans and coordinates research and investigative assignments regarding functional and operational problems and issues to develop and recommend courses of action or corrective actions. Responds to requests for information and reports with extracted data from available sources
  • Monitors the agencies’ progress toward meeting established goals and objectives by compiling, reviewing, and assessing reports and records to identify the cause and impact of delays or other problems
  • Assists in the development of the Board of Geologists and the State Board of Landscape Architects’ budgets
  • Serves as a backup for certain financial and human resources processes and tasks.

Requirements / Qualifications

Minimum Qualifications: Associate degree in public or business administration, accounting, or any discipline related to the work assigned. One year of experience in administrative, business management, or technical support work, including collecting and interpreting statistical, financial, program, or administrative data; or interpreting laws, rules, regulations, and processes. Experience may substitute for education on a year-for-year basis.

Preferred Qualifications

  • Experience in Microsoft Word and Excel
  • Experience in Adobe Acrobat Pro
  • Database experience

Other Information

Travel twice a year is expected to attend authorized annual national meetings, and to participate in outreach activities as needed.
