Role Description:

Arcadis is seeking a motivated and detail-oriented Administrative Assistant to join and support our team in the New York / New Jersey area. This position will work full-time in our client's office.

Arcadis is a part of the MPA Delivery Partner team, supporting the Gateway Development Commission in delivering the Hudson Tunnel Project (HTP). We are building this team by combining global and local experts and hiring additional talent necessary for HTP. We seek technical experts excited about this opportunity who wish to join our teams in New York and New Jersey.

Role Accountabilities:

  1. Assist project managers and team members with administrative tasks, including document preparation, report generation, data entry, and correspondence.
  2. Coordinate meetings, appointments, and travel arrangements for project staff, visiting teams, and stakeholders.
  3. Maintain project files, records, and databases, ensuring accurate documentation of project activities.
  4. Manage project correspondence, emails, and phone calls, directing inquiries appropriately.
  5. Support procurement activities, including purchase orders, invoices, and vendor coordination.
  6. Assist in organizing project events, team-building activities, and office functions to foster a positive work environment.
  7. Collaborate with internal departments, contractors, and external partners to facilitate communication and information flow.

Required Qualifications:

  1. High school diploma or equivalent; additional certification in Office Administration or related field is a plus.
  2. Proven experience as an Administrative Assistant, Office Administrator, or similar role, preferably in construction or engineering.

Key Skills and Abilities:

  1. Proficiency in Microsoft Office (Word, Excel, PowerPoint), email management, and office software.
  2. Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
  3. Excellent communication, interpersonal, and teamwork skills.
  4. Ability to maintain confidentiality, handle sensitive information, and prioritize tasks effectively.

Our benefits include nine paid holidays and 15 days of PTO annually. The salary range for this position is $60,000 - $90,000, based on experience, education, and other factors.
