A leading educational institution is seeking a professional Administrative Assistant to manage office tasks, provide information to parents, and support events. This position requires organization, interpersonal skills, and proficiency in Microsoft Office. Ideal candidates will have at least two years of administrative experience and a commitment to supporting children with diverse needs.

Job description
Responsibilities Include:
1. Answer the main telephone line for the school. Provides general information about enrollment. Relay messages to the appropriate personnel.
2. Appropriately greet and work with parents.
3. Global administration of electronic student records (graduations, change of classrooms, etc)
4. Responsible for organizing administration related to large center or parent association events such as Trunk or Treat, enrichment programs or Movie Night.
5. Assist President with holiday mailing, thank you letters and fundraising events.
6. Support classrooms as needed, including periodically filling in for short periods of time.
7. Other clerical/administrative duties including:
a) Maintains student files and documentation for in-center enrolled students/special needs students
b) Provide enrollment packets to new families at appropriate time.
c) Maintain all reports associated with new enrollments; immunization reports, email distribution list, etc.
d) Support director of early learning with reports/documents for State of Missouri.
e) Send monthly newsletters to parents.
f) Maintain/circulate monthly news/bdays/celebrations.
g) Ordering/receiving/distributing supplies.
h) Ability to code purchases and expenditures to proper accounts(per Dir. of Finance)
i) Support Dir. of Finance with filing and as needed.

Skills, Knowledge and Abilities
1. Working knowledge of Microsoft Office products, including Word, Excel, Publisher and Outlook.
2. Excellent organization and time management.
3. Excellent interpersonal skills for greeting the public, parents, children and staff. Ability to work independently, and collaboratively with the administrative team, therapists and teachers.
4. Proficiency in Microsoft Office 365 products, including Word, Excel, Publisher and Outlook. Knowledge of Word and MailMerges, .pdf exports, spreadsheets a plus.
5. Data entry experience.
6. Knowledge of and ability to navigate office phone systems.
7. Graphic arts skills a plus—for purposes of fliers and promotional materials.
8. Experience with PC platforms, copy machines and other office equipment.
9. Comfort with and embracing of mission of a school serving children with and without special needs.
10. Adheres to all policies and procedures regarding employees, parents and children.
11. Ability to lift 25 pounds routinely, and up to 50 pounds on occasion. Must be able to perform tasks which require sitting, standing, bending, and walking short to moderate distances. Must occasionally be able to get up and down from the floor(for ex., if assisting in a classroom).
12. Must possess and maintain a valid driver’s license and be able to navigate St. Louis.
13. High School diploma or equivalent; associate’s degree or higher preferred.
