Job summary

Reclaim Water Services in Texas-based operations seeks an Administrative Assistant to support field teams across the Permian Basin, New Mexico, and Ohio. You will coordinate logistics, manage communications, and provide essential admin support to ensure smooth day-to-day operations.

The ideal candidate is organized, detail-oriented, and capable of handling multiple priorities in a fast-paced oil and gas environment, with strong MS Office skills and vendor coordination experience.

Qualifications

  • 2+ years of administrative or office support experience, preferably in the oil and gas, industrial, construction, or transportation industries.
  • High school diploma or GED required; associate degree preferred.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office (Outlook, Excel, Word).
  • Experience processing purchase orders and coordinating with vendors is preferred.
  • Ability to work independently while managing multiple priorities in a fast-paced environment.
  • Strong attention to detail and problem-solving abilities.

Responsibilities

  • Answer and direct incoming phone calls professionally and efficiently.
  • Coordinate and book hotel accommodations and travel arrangements for field personnel.
  • Process purchase orders and coordinate the procurement of supplies, equipment, and materials.
  • Work closely with vendors and suppliers to ensure timely delivery of materials to active job sites.
  • Support field operations in the Permian Basin, New Mexico, and Ohio by coordinating logistics for work orders as they arise.
  • Maintain accurate records of purchase orders, invoices, lodging reservations, and vendor communications.
  • Assist with scheduling, document management, and general administrative support.
  • Monitor office supply inventory and place replenishment orders as needed.
  • Communicate effectively with field supervisors, operations managers, customers, and vendors.
  • Perform additional administrative duties as assigned to support business operations.
