Job summary

Blue Cliff College is seeking an Administrative Assistant to greet visitors, answer phones, and perform clerical tasks in a busy campus office. The role includes data entry, filing, and using standard office machines while supporting admissions and staff.

Ideal candidates will have a High School Diploma, at least one year of office experience, and strong interpersonal and Microsoft Office skills. This on-site position offers a collaborative environment at our Metairie campus.

  • Answer telephones in a friendly, courteous manner and direct to the appropriate office.

  • Distribute incoming correspondence to appropriate office personnel, students, and/or faculty.
  • Enter data for the Admissions Department into the computer system.
  • Perform administrative duties for office staff.
  • Prepare outgoing correspondence for mailing by addressing envelopes and affixing postage.

Blue Cliff College is seeking an Administrative Assistant. The Administrative Assistant receives and greets visitors, employees, and students and directs them to the appropriate offices. This position also answers telephone calls, takes messages, or routes calls according to campus procedures. The person in this position performs basic and varied clerical tasks which may include keyboarding and/or computer data entry, filing, and the operating of standard office machines and equipment.

JOB DUTIES
  • Answertelephones in a friendly, courteous, and helpful manner and directthem to the appropriate office or persons
  • Greetall visitors in a friendly manner while setting a positive and welcoming tone
  • Notify appropriate staff members of visitors waiting
  • Distributeincoming correspondence to appropriate office personnel, students, and/or faculty by receiving, sorting, opening (as appropriate), and routing according to campus procedures and guidelines
  • Workclosely with the Director of Admissions to ensure student lead information is recorded accurately
  • Performadministrative duties for office staff
  • Enter data for the Admissions Departments into the computer system
  • Prepareoutgoing correspondence for mailing by addressing envelopes, affixing the correct postage, and placing mail in the designated pick-up location
  • Providerequired or requested documents by operating photocopier equipment and/or standard office machines, collating and assembling printed or copied materials such as reports, bulletins, articles, etc
  • Managefunds associated with the operation of the Retail Store by receiving such funds as are appropriate, documenting their receipt, properly accounting for, and safeguarding the funds while kept, and delivering the funds to the designated office for final disposition
  • Exercisediscretion in the performance of assigned duties by being knowledgeable of college policies and procedures regarding confidential materials
  • Provideoffice personnel with necessary supplies and maintains sufficient on-hand items for future use by assisting with ordering, receiving, sorting, storing, and distributing basic office supplies and equipment
  • Contributeto the overall success of the campus by performing other essential duties and responsibilities as assigned by the Campus Director
  • Other duties as assigned

EDUCATION

EXPERIENCE
  • At least one (1) year of general office experience is required
  • Specialized training or education beyond high school which includes knowledge of general office procedures and the skills required may be substituted for the year of work experience
KNOWLEDGE
  • Knowledge of office telephone etiquette
  • Knowledge of basic filing and recordkeeping
  • Knowledge of proper English usage, grammar, spelling, and punctuation
SKILLS
  • A keyboarding rate of 40 words per minute is required
  • Must possess strong interpersonal, organizational and communication skills
  • Proficiency in Microsoft Office applications
  • Must have a positive attitude
ABILITIES
  • Ability to operate electronics, photocopier, and other standard office machines
  • Ability to perform alpha-numeric filing tasks
  • Ability to perform basic recordkeeping and tabulation tasks
  • Ability to meet deadlines and provide customer service to staff
  • Ability to manage multiple priorities
  • Ability to work with visitors, faculty, staff, and students
COMPENSATION

In the spirit of pay transparency, we can share that the pay range for this position is $20 - $21 per hour, commensurate with experience. Please keep in mind that this range is the base pay only and does not consider other components that make up the total rewards package for the position. If you are hired, your overall compensation will be determined based based on factors such as geographic location, skills, education, and/or experience which may result in total compensation outside of this range.
