Administrative Assistant Outpatient Clinic
We are seeking an experienced Administrative Assistant to support an outpatient clinic or medical office. The ideal candidate will have recent healthcare administrative experience and strong Epic experience, specifically with template building and scheduling.
Required Qualifications
- High School Diploma/GED required
- 1+ year of recent experience in an outpatient clinic or medical office setting
- Epic experience with template building and scheduling required
- Flu vaccination required; no exceptions/no declinations
- Proficiency with Microsoft Word, Outlook, Teams, and Excel
- Ability to read, understand, and respond to detailed oral and written instructions
- Strong organizational, communication, computer, and multitasking skills
Preferred Qualifications
- 2+ years of recent experience as an Administrative Assistant or Patient Service Representative (PSR)
- Experience with medical insurance, referral processes, and benefit plans
- Knowledge of medical terminology
- Previous experience supporting physicians, clinical teams, or outpatient departments
Key Responsibilities
- Support daily administrative and front-office operations within an outpatient clinic.
- Build, maintain, and update Epic scheduling templates according to department and provider requirements.
- Schedule and coordinate patient appointments using Epic.
- Maintain accurate provider schedules, appointment information, and clinic availability.
- Assist with patient registration and demographic updates as needed.
- Support insurance verification, referrals, and authorization processes when required.
- Respond to patient and staff inquiries by phone, email, and in person.
- Coordinate communication between patients, providers, clinical staff, and other departments.
- Prepare, update, and maintain reports, correspondence, spreadsheets, and other administrative documents.
- Use Microsoft Word, Outlook, Teams, and Excel for daily administrative functions.
- Maintain accurate and confidential patient information in accordance with HIPAA and organizational policies.
- Assist with department projects, meetings, scheduling changes, and other administrative needs.
- Follow established departmental procedures and maintain a professional, patient-focused environment.
- Perform additional administrative duties as assigned.
