Job summary

Frost PLLC is seeking an Administrative Assistant to provide top-level support for our CPA practice in Little Rock, AR. You will manage client communications and key day-to-day admin tasks to ensure smooth operations.

The role involves document organization, handling calls and mail, packaging, and assisting team members. On-site work is required, with overtime during peak season. Public accounting experience is a plus but not required; strong software skills are expected.

Qualifications

  • High School Diploma or equivalent is required.
  • Basic understanding of Microsoft Office Suite and Adobe Acrobat.
  • Excellent time management with deadlines.
  • Ability to work on-site, required.
  • Excellent communication and flexibility, eagerness to learn.
  • 40-hour workweek; overtime during peak season.
  • Public accounting experience preferred but not required.
  • Experience with tax software is preferred but not required.

Job description

At Frost, our Administrative Assistants play a pivotal role in providing top‑level support to our CPA practice. You will be responsible for managing communication with both new and existing clients, while also handling important day‑to‑day administrative tasks, guaranteeing smooth operations.

Key Responsibilities
  • Responsible for overall document organization, including scanning and storage of client documents.
  • Provide basic administrative support to the firm by managing inbound phone calls, sending and receiving deliveries, and sorting and delivering mail.
  • Prepare labels, apply postage, and prepare packages to be sent by mail and FedEx Express.
  • Ensure the office environment is organized and free of clutter and maintain the comfort of clients and employees by managing office and breakroom supplies.
  • Establish positive rapport with clients to enhance client delivery support.
  • Support and assist other team members and Frost locations with projects and backup as needed, including front desk.
  • Maintain the highest degree of professionalism and client confidentiality.
  • Optimize workflow, efficiency, resources, and client satisfaction.
Qualifications
  • High School Diploma or equivalent.
  • Basic understanding of Microsoft Office Suite (including Word, Outlook and Excel) and Adobe Acrobat.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to work on‑site, required.
  • Excellent communication and flexibility with a willingness to learn.
  • Availability to work 40 hours a week. During the busy season overtime will be mandatory.
  • Previous experience working in public accounting is preferred but not required.
  • Experience using CCH Axcess, CCH Prosystems fx Engagement, CCH AnswerConnect, Quickbooks and other tax preparation and research software is preferred but not required.
