Job description

First National Bank of America is seeking a detail-oriented and highly proactive Administrative Assistant to join our team. This role will provide essential administrative and organizational support to the department, ensuring the smooth operation of daily tasks and projects. The ideal candidate will possess strong organizational and multitasking abilities with excellent attention to detail, with the ability to maintain confidentiality and handle sensitive information. The Administrative Assistant bridges technical and administrative functions, enabling efficient communication and workflow within the team and across the organization.

Responsibilities:

  • Ability to work in an agile fashion and communicate across multiple communication tools seamlessly (cell phone, Teams, Ring Central and Email)
  • Maintain schedules, coordinate meetings and departmental events, take and finalize meeting minutes, and manage communications for the team
  • Flexibility to work off hours and travel between office locations as needed
  • Assist with purchasing hardware, software, and services, including vendor coordination and inventory management
  • Monitor budget expenses, process invoices, and maintain accurate financial records
  • Providing organization support including on-call scheduling, alert testing, reporting and organizing and updating documentation
  • Assist with audits and compliance documentation, track status and completion of request lists

Qualifications:

  • Proven experience as an administrative assistant, preferably within a technical environment
  • Demonstrates a high level of enthusiasm, initiative and ownership
  • Proficiency in Microsoft Office Suite (specifically Outlook), using cell phone as a productivity tool (Apple or Android), Google Workspace, and familiarity with ticketing systems
  • Effective communication skills, both written and verbal
  • Basic understanding of technical terminology and systems is a plus
  • Knowledge of budget management or procurement processes is beneficial, but not required
