Job summary

College of Health Care Professions is seeking an organized administrative professional to manage office operations across campuses. You will handle clerical duties, supply management, front desk coverage, and basic IT coordination to support students, staff, and visitors.

Responsibilities include creating purchase orders, maintaining inventories, coordinating travel and events, and assisting with monthly celebrations. A high school diploma and at least two years of admin experience are required.

Qualifications

  • High school diploma or GED required.
  • Minimum two years’ experience in an administrative role.
  • Proficiency in Microsoft Office and data entry.

Responsibilities

  • Create purchase orders and order books, class supplies, and office supplies for all campuses.
  • Receive and store books, class supplies, and office supplies; distribute as needed.
  • Maintain phone extension list and front desk coverage.
  • Coordinate travel, meetings, and conference registrations; arrange food and A/V needs.
  • Assist in planning monthly celebrations and student appreciation events.

Summary

Job Summary and Qualifications

Manages a variety of general office activities by performing general clerical duties to include but not limited to: photocopying, faxing, mail distribution and filing. Coordinates and maintains records for staff office space, phones, company credit cards and office keys. Creates and modifies various documents using Microsoft Office. In addition, responsible for the professional and efficient support of students, employees, visitors, and consumers; answer all switchboard phone calls and messages.

Essential Duties And Responsibilities
  • Create purchase orders and order books, class supplies, office supplies, computer supplies for all campuses
  • Ordering of all other products (janitorial supplies, specialty items, etc. all campuses)
  • Receive and store books, class supplies, office supplies, computer supplies
  • Distribute books, class supplies, office supplies, computer supplies according to current policy
  • Collect vendor invoices and packing slips for transfer to shared services accounting, ensuring proper approvals have be obtained.
  • Establish working relationships with all vendors; Obtain best possible pricing
  • Create and issue uniform vouchers
  • Record physical book inventories, according to current policy
  • Keep copiers full of paper, staples and toner
  • Replace toner cartridges in printers, as needed
  • Trouble-shoot minor computer problems, contact person for IT outsourcing company
  • Maintain phone extension list
  • Issue access codes for long-distance calling and copiers
  • Coordinate general maintenance repairs (HVAC, plumbing, janitorial)
  • Arrange conference registrations, travel arrangements
  • Set-up food, beverage and a/v needs for meetings, both in-house and off-site.
  • Assist in planning and executing monthly Birthday celebrations, Graduations, Holiday Party, Student Appreciation events
  • Shipping and receiving of all packages
  • Provide Front Desk coverage when needed
Education
  • High school diploma, or general education degree (GED).
Experience
  • Minimum two years’ experience in an administrative role.
Computer Skills
  • Must be proficient in Microsoft Office (i.e. Excel, Outlook, and Word) and data entry.
