Job Summary

We are seeking a talented, detail-oriented Administrative Assistant to join the PURIS team. Working closely with the Operations team and management, the Administrative Assistant will be responsible for assisting in all day-to-day operations of the local office.

Essential Job Responsibilities
  1. Assist in day-to-day operations of the office.
  2. Manage digital documentation.
  3. Prepare and track subcontract agreements and required documentation.
  4. Assist with business insurance tracking, updates, and renewals.
  5. Register and maintain state licenses and contractor requirements.
  6. Communicate with all company personnel as needed.
  7. Answer incoming telephone calls.
  8. Receive and date all incoming mail and distribute.
  9. Receive and distribute all incoming faxes.
  10. Greet visitors.
  11. Receive all special delivery packages.
  12. Prepare and maintain tracking spreadsheets under the direction of the Administrative Manager.
  13. Assist in preparing letters, proposals, and price quotes.
  14. Track and order office supplies.
  15. Update and distribute all company meeting notes.
  16. Complete filing of all project documents.
  17. Handle special holiday mailings & orders.
  18. Schedule the company conference room for interviews, meetings, and training.
  19. Acquire project-specific bonds and insurance certificates.
  20. Prepare and distribute project-specific submittals.
  21. Maintain vehicle files, including registration, permits, EZ-passes, and mileage & fuel tracking.
  22. Make business decisions prioritizing the 'Good of the Company' while maintaining professionalism.
  23. Perform other duties as directed.
Experience and Qualifications
  1. Excellent communication skills (verbal, phone, written, listening).
  2. Professional appearance and demeanor.
  3. Ability to handle multiple projects simultaneously.
  4. Flexibility to adapt to changes.
  5. Ability to develop and maintain positive relationships with clients, prospects, and colleagues.
  6. Proficiency with Microsoft Office products.
