Job description

The Pension Clerk provides administrative and telephone support to the Pension Department and serves as a primary point of contact for participants, retirees, beneficiaries, and other callers. This position is responsible for answering a high volume of telephone calls, assisting callers with routine pension-related questions, documenting inquiries, and directing more complex matters to the appropriate Pension Analyst or Pension Manager. The Pension Clerk must demonstrate professionalism, patience, confidentiality, accuracy, and excellent customer service skills while working in a fast paced, high-volume environment.

Essential Duties and Responsibilities
Telephone & Customer Service
  • Answer the Pension Department telephone line and respond to a high volume of participant and retiree calls.
  • Provide professional and courteous customer service to participants, retirees, beneficiaries, spouses, and other callers.
  • Assist callers with routine questions regarding pension applications, payments, forms, addresses, direct deposits, verification forms, and general pension procedures.
  • Verify participant information before discussing account specific information.
  • Research participant records and provide accurate information within the scope of the position.
  • Document telephone calls, questions, and actions taken in the appropriate system or CP Notes.
  • Maintain confidentiality of all participant and Fund information.
  • Assist with processing pension direct deposit forms, address changes, and other participant requests.
  • Enter and update participant information in the pension administration system.
  • Assist Pension Analysts with routine processing and administrative tasks.
  • Prepare and mail participant correspondence, forms, notices, and verification requests.
  • Assist with Pensioner Verification Forms and other departmental mailings.
  • Log incoming work, telephone inquiries, and follow up items in department tracking logs.
  • Perform data entry and other clerical duties accurately and timely.
Qualifications
  • High school diploma or equivalent required.
  • One to three years of clerical or administrative experience preferred.
  • Experience in a professional office environment preferred.
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.
  • Strong organizational and multitasking abilities.
