The City of Fort Worth is hiring an Administrative Assistant for the City Attorney’s Office to provide essential administrative and legal support. Responsibilities

  • Provides administrative and legal administrative support to the City Attorney’s Office management team and department, including coordinating day-to-day administrative activities and responding to requests for assistance
  • Manages calendars, schedules meetings, coordinates appointments, and assists with meeting preparation and other scheduling needs for assigned members of the management team
  • Prepares, drafts, formats, reviews, and processes correspondence, reports, City Council materials, presentations, and other legal and administrative documents, as needed
  • Coordinates department travel and training, including registrations, travel authorizations, transportation and lodging arrangements, required documentation, and travel-related expenses and reimbursements
  • Performs fiscal and purchasing responsibilities, including requesting purchase orders, processing invoices, reconciling purchasing-card transactions, and other departmental expenditures
  • Serves as the department’s Medical Records Custodian, assisting with FMLA and other medical-related leave processes, receiving and maintaining confidential medical documentation, and coordinating with Human Resources as needed
  • Serves as the department’s Payroll Coordinator and performs payroll and timekeeping functions, including reviewing and processing payroll information, researching discrepancies, and coordinating corrections as needed
  • Participates in special projects as assigned
  • Performs other duties as required
  • Adheres to assigned work schedule as outlined in the Department and City attendance policies and procedures; ensures all behaviors comply with the City’s Personnel Rules and Regulation

An Administrative Assistant position is available with the City of Fort Worth City Attorney’s Office. This position provides key administrative and legal administrative support to the City Attorney, three Deputy City Attorneys, and the department. In addition to supporting the management team, the position serves in several department-wide roles, including Payroll Coordinator and Medical Records Custodian, and coordinates attorney Continuing Legal Education registrations and related travel in accordance with City policies and procedures.

Minimum Qualifications:

  • Associate’s degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or related field
  • Four (4) years of clerical and administrative experience

The Administrative Assistant - job responsibilities include:

Preferred Qualification:

  • Experience managing multiple calendars, coordinating meetings, and balancing competing priorities and deadlines
  • Experience with payroll, timekeeping, purchasing, travel, or other fiscal and administrative processes
  • Previous administrative experience in a municipal or other local government environment

Criminal Justice Information Systems (CJIS) Background Check

Applicants for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access, the following will result in being disqualified for this position: Felony Convictions, Felony Deferred Adjudication, Class A Misdemeanor Conviction, Class B Misdemeanor Convictions in the last 10 years, Class A Misdemeanor Deferred Adjudication, Class B Misdemeanor Deferred Adjudication in the last 10 years, an Open Arrest for Any Criminal Offense (Felony or Misdemeanor), and ALL Family Violence Convictions regardless of class
