This position provides administrative and operational support to the Specialty Intake Operations team. This role ensures smooth day-to-day operations by providing stellar customer service while assisting with incoming calls, documentation, reporting, and communication between internal departments. This role requires excellent communication skills, attention to detail, organization, and time management to handle multiple tasks in a fast-paced environment.
1. Answers phone calls and directs callers to the appropriate department or person.
2. Assists with medical record functions including but not limited to patient admission packets, entering data in computer system, scanning documents, and filing paperwork.
3. Assists department managers and staff in handling multiple administrative functions and projects.
4. Review, categorize, and ensure accurate and timely distribution of incoming faxes to the appropriate department or stakeholders.
5. Types letters, correspondence, reports and other documents as requested.
6. Copies and distributes staff reports.
7. Assists in maintaining Specialty Intake policies, procedures, and training materials for compliance and operational efficiency.
8. Maintains files and records for the department.
9. Other related duties as assigned by manager or designee.
High school diploma or equivalent required, college course work preferred.
Minimum of one (1) year of administrative experience required; experience in the medical industry preferred.
Experience working in a fast-paced environment to multi-task with a sense of urgency to resolve issues.
Proficient experience with Microsoft Office including Word, Excel, PowerPoint, Outlook, Teams, SharePoint, and CPR+ software system or other electronic health care record system.
Excellent verbal, written, and interpersonal communication skills.
Advanced level of multi-tasking and problem-solving skills.
General knowledge of modern office procedures, filing, telephone techniques and office equipment.
Collaborative team player, able to complete routine tasks with minimal oversight.
Curious and competent to learn new technologies and processes that support department operations.
