Responsibilities

  • Assist with home office administrative duties and office operations as needed.
  • Support executive team with data gathering, analysis, and reporting.
  • Coordinate projects and administration for home office initiatives.
  • Maintain confidentiality of sensitive information and documents.
  • Liaise with vendors, residents, and internal teams to support operations.

The Administrative Assistant supports the home office working with the administrative team to manage company-wide administrative duties, home office initiatives, and office operations, as needed. Reports to Senior Executive Assistant.

Responsibilities
  • Project administration for key home office initiatives.
  • Company credit card program administration.
  • Company automobile administrative management.
  • Preparation of resident passing letters for the executive team.
  • Administrative back-up to other administrative team members.
  • Analytical duties to support the CEO, CFO, and Senior Executive Assistant.
  • Other key administrative duties, as assigned, are to support the executive team.
  • Corporate office team development.
  • Represent the home office administrative department in dealing with both internal team members and external contacts such as vendors, residents, or other interested parties.
  • Complete other projects, special assignments, other tasks, and duties as assigned. Projects may require research, gathering data, analysis, and reporting on results, working both independently and as part of a team.
  • Maintain a high level of confidentiality with sensitive information, documents, etc.
Qualifications
  • Must present a high degree of professionalism in both written and verbal communication.
  • Must have professional and congenial personal presentation.
  • Expertise in managing multiple concurrent tasks and meeting rigid deadlines.
  • Must be flexible, adaptable, and thrive in a fast-paced, changing environment.
  • Advanced proficiency in Microsoft Excel is required, including data analysis, reporting, formulas, functions, pivot tables, and spreadsheet management.
  • Experience with MS Office (PowerPoint, Word, Outlook, Teams).
  • Strong problem-solving skills and reasoning to solve administrative issues.
  • Excellent attention to details and exceptional quality assurance skills.
  • Must be self-motivated and able to work independently.
  • Must be a team player able to foster collaborative relationships with other team members.
  • Able to handle confidential material in a professional manner.
  • Must be able to sit and stand for long periods of time.
  • Must be able to push/pull carts and move boxes weighing up to 45 pounds.
