Shasta Beverages, Inc. seeks an Administrative Assistant to support office operations, assist the Office Coordinator with correspondence, filing, and processing supply requisitions including invoices for general plant operations.

The role requires strong communication, organizational skills, and experience with accounts payable and vendor relations in a corporate environment. The position is full-time and on-site, involving routine administrative duties and cooperation with the Corporate Office.

Qualifications

  • High School Diploma or equivalent; some college preferred.
  • Minimum 3 years general office experience including HR, clerical and accounting functions (A/R, A/P, payroll).
  • Flexible full-time schedule, may include weekends and holidays.
  • Excellent communication and telephone etiquette; fluent in English (written and spoken).
  • Strong computer skills including MS Office and reporting software.
  • Exceptional interpersonal communication skills.

Responsibilities

  • Answers incoming calls and welcomes on-site visitors.

  • Communicates with vendors, plant employees, plant management and Corporate Office.
  • Prepares reports and monitors/distributes them as needed.
  • Performs accounts payable functions including coding, vouchering and processing invoices.
  • Reconciles vendor statements ensuring payments and due dates.
  • Maintains office equipment and arranges repairs.
  • Maintains proper documentation for files.

JOB OVERVIEW:

The Administrative Assistant maintains office operations and procedures; helps the Office Coordinator with processing correspondence; filing, reviewing and/or processing supply requisitions including invoices for general plant operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Answers incoming calls and welcomes on-site visitors.
  • Provides information by answering questions and requests.
  • Communicates regularly with vendors, plant employees, plant management and the Corporate Office.
  • Keeps management informed by preparing reports, and monitoring and distributing them as needed.
  • Performs accounts payable function including account coding, vouchering and processing invoices for payment.
  • Reconciles vendor statements to ensure all invoices have been paid and follow due dates.
  • Ensures operation of office equipment by completing preventative maintenance requirements and or calling for repairs.
  • Maintains proper documentation for files.
  • Sorts and distribute mail and faxes for department.
  • Insures fair, equitable and respectful treatment of all employees.
  • Contributes to team effort by accomplishing related results as needed.
  • Maintain the professional appearance of the lobby area.
  • Other duties as assigned by Supervisor.
LANGUAGE SKILLS:

Ability to read, analyze, and interpret common information, reports and other documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or company representatives. Ability to effectively present information to management.

WORK ENVIRONMENT:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Field positions will be exposed to various unfamiliar conditions where Personal Protective Equipment (PPE) must be worn and which may include, but are not limited to: manufacturing and warehouse plants, and other venues as directed by supervisor. The noise level in the work environment is usually moderate, but increases significantly in warehouse and manufacturing plants.

MINIMUM QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • High School General Education Diploma or equivalent. Some college strongly preferred.
  • Minimum 3 years general office experience in an administrative role that includes various HR and Clerical and Accounting functions (A/R, A/P, payroll, etc.)
  • Ability and willingness to work a flexible Full-Time schedule that may include weekends and holidays.
  • Excellent communication skills and telephone etiquette. Fluent in oral and written communication in English.
  • Strong computer skills, including Microsoft business applications and various reporting software.
  • Exceptional interpersonal communication skills.
  • Must be 18 years or older
  • Pass a background and drug test.
  • Must be able to provide own transportation to various locations in organizational service areas, as required by duties.
