Department Description:
The Administrative Assistant provides direct support to the Executive Director and leadership team, ensuring the smooth coordination of daily operations, communications, and organizational priorities. This role functions as a central point of contact for internal and external stakeholders, managing schedules, documents, and follow-ups. The Administrative Assistant helps maintain efficiency across departments by organizing workflows, tracking tasks, and supporting compliance-related and operational processes within the Global Faculty Organization.

This is a 12-month administrative support position within Global Faculty Organization.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily:
Manages the Executive Director's calendar, appointments, and daily schedule;
Coordinates meetings, prepares agendas, and tracks action items and follow-ups;
Serves as a primary point of contact for emails, calls, and internal communications;
Organizes and maintains digital and physical documents, records, and files;
Prepares reports, correspondence, and administrative materials as needed;
Tracks tasks, deadlines, and organizational priorities to ensure timely completion;
Supports coordination with staff, mentors, school partners, and external stakeholders;
Assists with data entry and updates within internal systems (e.g., Odoo platform);
Maintains confidentiality of sensitive information and organizational data;
Monitors communications and ensures timely responses and follow-ups;
Supports event coordination, travel arrangements, and logistics when required;
Identifies administrative inefficiencies and proposes practical solutions;
Maintains a professional and organized office environment;
Performs other duties as assigned.
