Job summary

The Indiana University School of Education seeks an administrative professional to provide general office support and serve as the first point of contact for undergraduate programs. You will handle calls, direct inquiries, and perform routine clerical tasks with discretion and professionalism.

You will manage scheduling, travel arrangements, and document preparation while assisting with records, reporting, and communications across departments.

Qualifications

  • High school diploma or equivalent required.
  • 2 years of relevant experience required.
  • Ability to handle confidential information.
  • Strong organizational and communication skills.
  • Proficient with standard office software.

Responsibilities

  • Serves as the first point of contact for the school's undergraduate programs with departments that include Academic Advising, Recruitment and Scholarships, Accreditation and Licensing, Career Connections, Clinical Experiences, Transition to Teaching, Records and Reporting, INSPIRE Living Learning Center, and Global Gateway for Teachers Program.
  • Answers the phone and directs calls for the school's public facing phone line.
  • Provides administrative support to a department or group of professionals, exercising confidentiality, tact and diplomacy.
  • Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.; compiles data for expense and statistical reports.
  • Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.
  • Schedules and confirms appointments, meetings, and travel arrangements; tracks expenses.
  • Participates in the development and implementation of administrative standards, policies and practices for the organization.
  • May perform other duties related to maintaining an internal website and/or working with social media.
